Duties

  • Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for attorneys and staff.
  • Manage firm billing, invoicing, accounts payable/receivable, and petty cash and expense reporting.
  • Collect from clients for current and past due invoices.
  • Serve as a professional point of contact for clients, technology and troubleshooting.
  • Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team.
  • Manage vendor relationships for office supplies, technology services, and other operational needs to ensure cost-effective procurement and timely service.
  • Coordinate event planning for client meetings, community outreach programs, and internal training sessions to enhance office presence and engagement.
  • Maintain meticulous filing systems, manage document retention policies, and oversee medical or legal record management with precision.
  • Support human resources functions including onboarding new employees, managing employee records, and ensuring compliance with workplace policies.
  • Assist with budgeting efforts by monitoring expenses and preparing reports to optimize resource allocation within the office.
  • Ensure excellent communication across teams by managing schedules, facilitating meetings, and maintaining effective phone etiquette.
  • Maintain client records, intake forms, and confidentiality standards.
  • Serve as a resource for attorneys and staff on office policies and procedures.
  • Support hiring processes, including posting positions, scheduling interviews, and new employee orientation.
  • Handle sensitive matters with discretion and professionalism.
  • Ensure confidentiality and compliance with firm policies, employment regulations, and legal ethics requirements.
  • Foster a professional, organized, and welcoming office environment.

Qualifications

  • Proven experience in office management within a legal or professional services environment; supervisory experience is highly preferred.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy setting.
  • Collection experience from slow paying clients; ability to monitor and stay on top of payment plans.
  • Familiarity with legal office management software, CLIO, is a plus.
  • Exceptional communication skills—both verbal and written—to interact effectively with staff, clients, vendors, and external partners.
  • Demonstrated ability to handle vendor management and negotiate service agreements confidently.
  • Experience in event planning, team training & development, and human resources functions such as onboarding and employee relations.
  • Knowledge of budgeting practices and basic bookkeeping principles to support financial oversight.
  • Excellent clerical skills including filing systems, front desk operations, multi-line phone handling, calendar management, and general administrative duties. Pay: $23.01 - $27.71 per hour
