Position SummaryThe Staff Accountant is responsible for operational bookkeeping, financial analysis, and accounting support across multiple business functions. This role manages core accounting processes, supports financial reporting, assists with cash flow analysis, and partners closely with project managers to ensure accurate job costing and project profitability. The ideal candidate is organized, proactive, and comfortable managing both accounting and light administrative/HR responsibilities.Key ResponsibilitiesOperational Accounting & BookkeepingPerform day-to-day bookkeeping in QuickBooks Online (QBO) and Ramp, including coding transactions, reconciling activity, and maintaining accurate financial records.Process accounts payable, ensuring timely and accurate entry, coding, approvals, and payment management.Manage accounts receivable, including client invoicing, payment application, aging review, and collections management.Prepare and submit payroll using established systems; ensure accuracy of hours, pay rates, deductions, and compliance requirements.Complete balance sheet reconciliations and provide ongoing support for balance sheet accuracy and integrity.Financial Reporting & AnalysisAssist with monthly, quarterly, and annual sales tax reporting, ensuring timely and accurate filings across applicable jurisdictions.Support cash flow analysis, including forecasting, variance monitoring, and identifying potential cash needs.Prepare and contribute to the monthly financial reporting package, including P&L review, balance sheet schedules, account reconciliations, and variance analyses.Conduct expense analysis, identifying trends, cost-saving opportunities, and discrepancies.Project Profitability & Operational SupportWork directly with project managers to review job costing, understand project performance, and provide actionable accounting insights that affect project profitability.Support accurate revenue recognition and project billing processes.Maintain proper documentation for project expenses, change orders, and related financial activity.HR & Administrative ResponsibilitiesProvide light HR support, including new hire paperwork, maintaining employee files, and assisting with benefits administration or compliance documentation as needed.Perform small administrative duties, such as vendor account setup, filing, record management, and internal process coordination.Qualifications2–5 years of accounting experience; experience in a construction, integration, or project-based industry preferred.Strong proficiency in QuickBooks Online (QBO); experience with Ramp is a plus.Understanding of GAAP principles and experience with balance sheet reconciliations.Strong Excel skills and the ability to analyze financial data and prepare supporting schedules.Excellent organizational skills with the ability to manage multiple tasks and deadlines.Strong communication skills and the ability to collaborate cross-functionally, especially with project managers and leadership teams.High attention to detail, accuracy, and confidentiality.Working ConditionsFull-time, may be remote or hybrid depending on location.May occasionally require extended hours during reporting periods or project deadlines.
