Order Administrator
Since 1985, Data Security, Inc.® has been the world leader of National Security Agency (NSA) evaluated products for digital data destruction; through innovative design, we hold many patents. We design, manufacture, sell and support our products worldwide, from Lincoln, Nebraska. We are a small, locally owned and operated company, with a global customer base and a global impact on data security.
The Order Administrator position is responsible for providing superior customer service through critical administrative support. Major duties include processing, shipping, and tracking orders, invoicing, ensuring contract compliance and maintaining databases. Minor duties include managing the reception area, greeting guests, directing incoming phone calls with urgency and efficiency. It entails building and maintaining ongoing, productive relationships with internal and external partners. This position provides quality support to the administrative, sales, manufacturing and engineering teams of Data Security, Inc. It requires the ability to utilize teamwork, efficiency, and knowledge to generate growth and maximize revenue.
Essential Functions
· Process Orders
o Data Entry
o Follow and maintain established procedures
o Ensure contract compliance
o Mail items to complete orders
o Create customer packets of documentation to go with shipments
o Ship equipment to complete orders
o Track shipments; process damage shipment claims
o Invoice customers
o Accounts Receivable duties to invoice customers
· Manage Reception Area
o Control visitor access
o Receive and direct incoming calls and voicemail
· Accounts Payable
o Process shipping invoices
· Administrative Duties
o Properly maintain filing system
o Create customer packets that go with each shipment
o Provide delivery email correspondence
o Process inventory packing lists
o Keep break room, reception, executive offices and common areas presentable, clean, stocked and organized
o Order office supplies
· Other duties as assigned

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, scanners and copiers.
Physical Demands
While performing the essential functions of this job, the employee is regularly required to sit. The employee is frequently required to walk or stand. The employee is occasionally required to bend, twist or reach as well as lift and/or move up to 50 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision preferred and the ability to adjust focus between multiple tasks.

Required Education and Experience
A high school diploma or its equivalent

Pay: $35,477.23 - $48,308.34 per year
