Key Responsibilities
- Own daily coordination: Track schedules, deadlines, and deliverables across multiple teams and vendors.
- Drive communication: Keep engineers, contractors, and leadership aligned with accurate, timely updates.
- Manage documentation: Maintain RFIs, submittals, change orders, meeting minutes, and project logs.
- Track budgets and costs: Support the finance team with accurate reporting and expense alignment.
- Identify risks early: Spot delays, conflicts, or missing details before they impact timelines.
- Solve problems on the fly: Step in with answers and solutions, not just escalations.
- Prepare updates: Deliver clear status reports and presentations for internal teams and clients.
- Support site activity: Coordinate logistics for site visits, contractor meetings, and equipment deliveries.
- Ensure compliance: Confirm project files, safety requirements, and permits are in order at every stage.
- Adapt quickly: Reprioritize and adjust plans as project needs shift in real time.
Qualifications
- Bachelor’s degree in Business, Engineering, Construction Management, Project Management or related field (preferred).
- 2 years of experience in project coordination, construction, engineering, or large-scale technical projects.
- Strong organizational and time-management skills under tight deadlines.
- Proficiency in Microsoft Project, Excel, and project tracking tools (Trello, Jira, Smartsheet, Asana, JobTread, or similar).
- Ability to read and work with technical drawings, Gantt charts, and project documentation.
- Excellent written and verbal communication skills.
- Comfortable managing multiple priorities across different time zones.
- Proven ability to work in fast-moving, detail-heavy environments.
