Acting as a partner to physician and nursing leadership, the Administrative Supervisor aligns administrative workflows with clinical operations to improve throughput, coordination, and overall performance. The role participates in continuous improvement initiatives, ensures effective resource utilization, and fosters a patient-centered environment that supports both clinical excellence and operational efficiency.
Responsibilities
- Directly supervises and manages all assigned support staff. Oversees timely and accurate completion of support staff work. Ensures adherence to office standards, procedures and protocols. Assists in providing day-to-day management for various clinical and support activities.
- Standardizes office procedures and initiates policy and procedure changes. Directs department operations to prepare and retains records, files, and reports. Plans office layouts, requisitions office supplies and equipment, and initiates cost reduction programs.
- Interviews and selects new support employees, organizes orientation to train new employees in operational procedures, evaluates the performance of the secretarial/clerical staff, and recommends salary adjustments. Coaches and counsels for performance problems up to termination.
- Coordinates and directs special quality improvement pilots and projects in which the office staff is involved. Develops, maintains and revises office procedures and systems to ensure efficient, effective operations.
- Analyzes work flow to assure maximum staff utilization.
- Develops and maintains office procedures relative to the delivery of quality health care and patient relations.
- Assures that personnel, space, furniture, and equipment needs of the office are met.
- Coordinates on-call and provider schedules.
- Functions as a resource to operations in designing and implementing workflow changes that will increase the efficiency and effectiveness of operations.
- Performs other duties as required or assigned.
Qualifications
- Associates degree with 3 years of secretarial experience or equivalent required.
- Proven leadership and organization skills desired.
