What are the responsibilities and job description for the Administrative & Operations Coordinator position at Dark Horse Operations?
A Little About Us
Dark Horse Operations supports a growing collection of businesses focused on luxury homebuilding, land development, and real estate.
We move quickly, think creatively, and take tremendous pride in what we do. We’re a close-knit, hardworking team with high standards, big goals, and an appreciation for people who genuinely care about the details.
We’re growing, and we’re looking for someone special to grow with us.
Who We’re Looking For
We’re searching for that rare person who is equal parts organized, personable, proactive, and resourceful.
Someone who naturally takes ownership, enjoys helping others, and finds genuine satisfaction in keeping things running beautifully behind the scenes.
You don’t need someone to tell you every little thing that needs to be done. You notice it, take initiative, and follow through.
You’re polished and professional, but approachable. You’re confident without needing to be the loudest person in the room. You enjoy a fast-paced environment, appreciate a challenge, and understand that no two days will look exactly alike.
Most importantly, you’re someone people genuinely enjoy working with and can always count on.
What Your Days Will Look Like
Keeping Us Organized
- Managing calendars, schedules, appointments, and daily office coordination.
- Maintaining organized files, records, correspondence, and documentation.
- Keeping track of deadlines, follow-ups, and all the little details that matter.
Supporting Our People & Operations
- Providing administrative support to ownership and our operations and accounting teams.
- Assisting with invoices, project paperwork, vendor documentation, and data entry.
- Helping coordinate communication between team members, clients, vendors, and business partners.
- Making sure information gets where it needs to go and nothing falls through the cracks.
Being a Step Ahead
- Anticipating needs before they’re brought to your attention.
- Finding solutions instead of simply identifying problems.
- Helping improve systems and processes as we continue to grow.
- Jumping in wherever needed with a positive, can-do attitude.
What Makes You a Great Fit
- You’re exceptionally organized and detail-oriented.
- You’re warm, personable, and an excellent communicator.
- You’re naturally proactive and take pride in following through.
- You can juggle multiple priorities without becoming overwhelmed.
- You’re comfortable with technology and quick to learn new systems.
- You’re trustworthy, discreet, and dependable.
- You have a genuine desire to help others succeed.
- You bring a positive attitude, good judgment, and a little personality to everything you do.
Previous administrative or operations experience is preferred. Experience in construction, real estate, or accounting support is a bonus, but finding the right person matters most.
What You Can Expect From Us
We’re a growing company with an entrepreneurial spirit, high expectations, and plenty of opportunity.
We believe in recognizing great people, encouraging personal growth, and creating an environment where hard work, initiative, and great attitudes are genuinely appreciated.
One Last Thing…
We’re not simply looking for someone to fill a seat.
We’re looking for someone who will become an important part of our team. Someone who takes pride in their work, genuinely cares about the people around them, and wants to be part of building something exceptional.
If that sounds like you, we’d love to meet you.
