Billing & Data Entry SpecialistWe’re looking for a highly organized and detail-oriented Billing & Data Entry Specialist to support the billing and media operations. In this role, you will be responsible for maintaining accurate records, processing invoices, supporting billing reconciliation, and ensuring the integrity of data across multiple systems.
This position is ideal for someone who thrives in a fast-paced environment, enjoys working with numbers and systems, and takes pride in delivering accurate, dependable work. You will collaborate with internal teams and external vendors to ensure billing processes run smoothly while identifying opportunities to improve efficiency through technology and process enhancements.
How You Will Contribute:
- Enter and maintain accurate billing, media plan, and account information across multiple systems
- Process incoming invoices and verify billing information for accuracy and completeness
- Support customer account management and billing-related administrative tasks
- Perform manual data entry from multiple sources with a high degree of accuracy and efficiency
- Review, identify, and resolve billing discrepancies, making corrections as needed
- Enter media plans, insertion orders (IOs), and revisions accurately into Media Force and other billing systems
- Communicate professionally with vendors regarding contracts, invoices, costs, and billing documentation
- Assist with monthly billing reconciliation and reporting activities
- Support ongoing process improvements through the use of AI, automation, and billing tools
- Adapt to changing client needs while maintaining exceptional service and accuracy
- Contribute to team success through collaboration, communication, and a commitment to excellence
- Complete monthly billing and reconciliation activities
- Enter incoming invoices into Media Force
- Maintain and update IO revisions within Media Force
- Support media billing administration and documentation management
- Attend internal status meetings and billing reviews
- Assist with special projects and additional administrative support as needed
- Proficiency in Microsoft Office Suite, particularly Excel
- Experience with Media Force, Strata, or similar billing/database platforms preferred
- Experience with data entry, billing support, invoicing, or administrative operations
- Understanding of traditional media channels including Out-of-Home (OOH), Print, Radio, and Television preferred
- Ability to work with large volumes of data while maintaining accuracy
- Strong written and verbal communication skills
- Experience working with vendors and external partners in a professional setting
- Associate’s or Bachelor’s degree in Business, Accounting, Marketing, Communications, or a related field preferred
- 1–3 years of billing, accounting support, media operations, or administrative experience preferred
