- Organize and manage routine work activities of the Department and plan for appointments, conferences, interviews, and travel.
- Creates and prepares correspondence, forms, spreadsheets reports, documents and/or maintains databases using Windows-based business software applications.
- Maintain payroll and budget for the department, prepare and follow through on all departmental requisitions, purchase orders, and payment authorizations.
- Obtain and maintain adequate office supplies at all times.
- Assist walk-in traffic, answer incoming calls, take reliable messages, and route to appropriate staff.
- Receive and send fax messages as required and distribute documents to the appropriate personnel.
- Ensure the office is always neat and projects a professional appearance.
- Provide general information to employees, parents, and the public as it relates to the department.
- Assist with all departmental trainings, and projects, including developing agendas, procedures, and practices.
- Ensure timely notification of department staff regarding issues relating to policies, procedures, and practices.
- Interact with all levels of management, employees, and vendors, aiding in handling vendor problems.
- Process routine correspondence including documents for approval.
- Provide regular feedback to Supervisor regarding the status of projects or issues.
- Monitor and maintain personnel time records including daily attendance, leave requests and reports compile information and submit to requesting departments.
- Coordinate the day-to-day functions of the department such as maintaining the department filing system and make copies of all materials needed.
- Process routine correspondence including documents for approval, department. meeting agendas and information packets.
- Accredited High School Diploma or equivalent (U.S.A. Equivalency); Associate's Degree from an accredited university preferred.
- 5 years of direct experience.
- Advanced typing skills at 60 wpm.
- Demonstrated ability to function independently.
- Demonstrated ability to maintain a pleasant, non-threatening and inviting office environment.
- Demonstrated ability to defuse problems and hostile attitudes.
- Demonstrated ability to manage multiple priorities simultaneously.
- Demonstrated ability to communicate effectively in verbal and written form.
- Demonstrated knowledge in the use of office equipment.
- Demonstrated organizational, interpersonal, and customer service skills required to achieve the goals of the position.
- Demonstrated proficiency in keyboarding, word processing, spreadsheets, and file maintenance.
- Knowledge of district organization, operations, and administrative policies preferred.
- Demonstrated proficiency with MS Office Professional preferred.
