Summary
This role is responsible for the management of meetings. This role involves managing meetings and events for assigned functions, serving as an essential member of the Meetings & Events group, and acting as key partner to assigned functional areas. Responsibilities include proactively assessing business needs, forecasting meeting requirements, providing budget guidance, ensuring compliance, and offering consultative feedback on meeting functions. Collaborate closely with business stakeholders to develop comprehensive quarterly and annual budget plans aligned with meeting objectives and financial strategies. This position will have oversight for our 3rd party vendors supporting aligned meetings. This position is accountable to ensure all HCP events/engagements are compliant with our policies including Aggregate Spend. Responsible for the accuracy of the HCP Aggregate Spend data and timeliness associated with the reports including the 100% audit of all HCP engagements. Additionally, this position will be responsible for the full planning/managing of meetings.

Responsibilities
- Stakeholder Engagement and Customer Relations
- Develop and maintain relationships with aligned stakeholder /business owners, collaborating closely to align ME team in support of the business’ strategic objectives and evolving requirements.
- Support stakeholder priorities and initiatives by collaborating to develop annual business plans for meetings, including budgeting and forecasting.
- Facilitate discussions with the stakeholder to either validate or adjust tactical plans using forecasting and actualized data.
- Facilitate annual feedback sessions cross functionally within the business and propose and implement enhancements based on the feedback received. Leverage opportunities, sharing market trends insights with stakeholders for potential application to their strategies or ME overall processes.
- Re-educate and identify training opportunities for stakeholders as required.
- Vendor Management
- Preferred partner programs for hotels, AV/Production, and ground transportation.
- Gather all pertinent meeting information including budget for individual meetings.
- Manage and influence site selection, contracting and negotiation process for the venue.
- Oversees the timeline for planning the meeting, travel and meeting onsite.
- Ensure that the business and those who are planning meetings are following the appropriate procedures, policies, and meeting costs are aligned with the approved budgets.
- Weekly touch base with 3rd party planners to review all aspects of the meeting.
- Identifies training sessions for 3rd party vendor new hires on meeting planning protocols. Additionally, accountable for final reconciliation, budget reporting, and survey.
- Ensures all data is accurate and captured in meeting management software.

Education Qualifications (from An Accredited College Or University)
- Bachelor's Degree in Business, Marketing or commensurate experience preferred
- 4 or More Years in the “Meeting and Events Planning” or “Meeting Management” profession required
- 1 or More Years related work in Pharma industry preferred
- people management experience preferred
- Certified Meeting Professional (CMP) preferred
