You are invited to join our non-profit 501(c)(3) corporation as Receptionist/Office Support. We at D’Veal Family and Youth Services (D’Veal) understand it is vital that behavioral health challenges of children and families in the San Gabriel Valley and Los Angeles County be met with services consistent with the dynamic needs of today’s world, and within the parameters of various governmental agencies. For over 25 years, we have continually worked to create effective strategies and approaches that do the greatest good in the community and for each of the families we serve through community and school-based programs. The vision of D’Veal is to be the recognized leader in behavioral healthcare services, family wellness, enhancement and empowerment within diverse neighborhoods in Southern California.

POSITION SUMMARY

Responsible for the support of overall front office activities, including the reception area, mail, coordinating and delivering purchasing requests. Also responsible for directing and coordinating office services and related activities, such as scheduling conference rooms and providing arrangements for office meetings. The position will also participate in front office tasks. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. This position requires at least one late work day per week.

  • Support the management of the reception area.
  • Answer and direct phone calls, emails, and other correspondence.
  • Greet and assist visitors, clients, and employees.
  • Manage calendars, schedules, meetings, and appointments.
  • Prepare, edit, and proofread letters, reports, forms, and presentations.
  • Organize and maintain filing systems (electronic and paper records).
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Order and maintain office supplies and equipment inventory.
  • Monitor office equipment including copier, fax machine and phones.
  • Support managers and departments with administrative projects.
  • Create and maintain spreadsheets, reports, and tracking logs.
  • Ensure office procedures are followed.
  • Perform general clerical duties such as photocopying, scanning, and filing.
  • Handle special projects and additional administrative tasks as assigned.
  • Maintain a clean, organized, and efficient office environment.
  • Maintain cleanliness and organization of office kitchen and breakroom areas.
  • Monitor kitchen inventory and replenish supplies as needed.
  • Receive and organize food and beverage deliveries for agency-related events.
  • Participates in other duties as assigned.

ORGANIZATIONAL RELATIONSIPHS / INTERACTIONS

  • Interacts with Direct Supervisor, Director and Managers of Programs, staff and program participants, while completing relevant projects and performing assigned duties.
  • Maintains an effective working relationship with immediate supervisor, co-workers, clients and Agency Management.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Travel

May need to travel from one site to another.

Required Education and Experience

  • High school diploma.
  • One Year related experience.
  • Typing 55 wpm and able to set up correspondence using correct form and grammar.
  • Computer software knowledge.

Job Type: Full-time

Pay: $22.00 - $25.00 per hour
