Duties
- Greet patients warmly upon arrival, ensuring a positive first impression and seamless check-in process
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance verifications using systems like Availity and DentalXchange.
- Explain treatment plans, financial options, and appointment scheduling clearly to patients
- Coordinate with dental providers to schedule appointments, follow-up visits, and treatment procedures
- Manage dental billing and collections efficiently using dental office management software such as Dentrix
- Review medical records and documentation for accuracy, completeness, and compliance with HIPAA regulations
- Assist with intake procedures, including collecting patient information and updating electronic health records (EHR systems) like eClinicalWorks or EMR systems
- Support front desk operations by answering multi-line phone systems with professional phone etiquette and handling clerical tasks such as filing, data entry, and appointment reminders
- Maintain accurate documentation review processes to ensure compliance with healthcare standards and billing accuracy
- Clearly communicate with patients and record information while greeting, checking-in, checking-out or scheduling appointments for patients (on the phone or in person).
- Collect payments; including 3rd party payments (Care Credit), insurance co-pays (PPO’s) and balances due
- Follow up on dental claims, balances due, patient recalls, patient treatments
- File patient insurance claims and follow up on outstanding claims, verification of benefits and explanation of coverage
- Run Reports; Post insurance and patient payments and process accounts receivables
- Flexible in supporting team between various roles as needed in a demanding and fast- paced environment.
- Present and review treatment plans and payment options with patients
- Schedule and track laboratory cases
- Maintain supply inventory and alert supervisor when supply is low
- Other duties as needed
Skills
- Strong knowledge of dental terminology, CPT coding, and dental billing practices
- Proficiency in EMR systems such Dentrix for documentation management and scheduling
- Experience with insurance verification processes including PPO Medicare and private insurers
- Excellent customer service skills with a friendly demeanor and effective communication abilities in bilingual settings preferred
- Demonstrated ability to handle medical administrative support tasks efficiently in a busy clinic environment
- Familiarity with HIPAA regulations to ensure patient confidentiality and data security at all times
- Competent computer skills including Microsoft Office Suite (Word, Excel), typing (10 key), and familiarity with multi-line phone systems
- Prior clinic or dental office experience is highly desirable to ensure smooth workflow integration
- Ability to review dental records thoroughly for accuracy while managing care plans effectively
- Strong organizational skills with attention to detail in filing, documentation review, and office management tasks
- Spanish speaking is a plus

Pay: $20.00 - $26.00 per hour
