This role is essential in supporting both patients and clinical staff by maintaining efficient scheduling practices and delivering excellent customer service.
Key Responsibilities:
- Schedule, reschedule, and confirm patient appointments for psychiatric and mental health services
- Coordinate provider calendars, including psychiatrists, therapists, and support staff
- Answer incoming calls, respond to patient inquiries, and provide accurate information regarding services
- Verify patient demographics, insurance information, and appointment details
- Collect patient copays and process payments in accordance with office policies
- Send appointment reminders and follow up on missed appointments (no-shows)
- Maintain confidentiality and ensure compliance with HIPAA regulations
- Collaborate with clinical and administrative staff to optimize scheduling efficiency
- Manage electronic health records (EHR) scheduling systems accurately
- Assist with patient intake processes and documentation as needed
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- Previous experience in a medical office, behavioral health, or scheduling role preferred
- Familiarity with electronic health record (EHR) systems
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to handle sensitive information with professionalism and discretion
