Job Purpose: 

The Compliance Coordinator serves as an operational extension of the ATF Compliance Director within a regulated firearms, import/export, and controlled materials environment.
This role supports regulatory submission preparation, permit lifecycle tracking, firearms inventory documentation control, and maintenance of structured compliance systems. In response to increasing regulatory volume and multi-agency oversight requirements, this position strengthens compliance infrastructure to ensure continuity, audit-readiness, and scalable regulatory operations.
The role may expand in analytical responsibility based on demonstrated performance and regulatory proficiency. All regulatory submissions and external communications require review and approval by the ATF Compliance Director prior to release. This position does not independently interpret regulatory statutes or represent the company before government agencies. 
Regulatory & Licensing Support 
•    Prepare ATF Form 6 and Form 6A submissions for review
•    Assist in assembling documentation packets for ATF, CBP, BIS, DDTC, and related agencies
•    Maintain structured trackers for permits, licenses, amendments, and regulatory filings
•    Draft regulatory correspondence for review (amendments, disclosures, updates)
•    Monitor and report status of open regulatory actions
•    Maintain denied-party screening documentation and regulatory due diligence records
•    Track import/export documentation elements, including HTS classifications where applicable
Compliance Documentation & Infrastructure
•    Maintain organized digital and physical regulatory filing systems
•    Ensure documentation remains inspection-ready
•    Maintain compliance calendars and proactive alert systems
•    Support internal audits and compliance reviews
•    Assist in maintaining and updating internal compliance procedures and SOPs
•    Identify workflow improvement opportunities and support implementation of standardized templates
•    Maintain documentation redundancy to support operational continuity
Firearms & Inventory Documentation Support
•    Maintain secure tracking logs for firearms stored in company safes
•    Assist in maintaining A&D documentation readiness
•    Support chain-of-custody documentation and secure record retention
•    Reconcile ERP inventory data against A&D records and flag discrepancies for review
•    Support documentation preparation for inspections or inventory reviews
Reporting & Analytical Support
•    Track regulatory workflow metrics and aging items
•    Compile data supporting submission volume tracking and reporting
•    Provide structured updates to the ATF Compliance Director regarding open items and deadlines
Other
•    Support department colleagues as needed
•    Complete assigned tasks and required paperwork accurately and on time
•    Ensure regular and timely attendance to maintain workflow continuity
•    Maintain a clean and organized work area
•    Complete other tasks assigned by supervisor or management
•    Adhere to all company policies and procedures

Qualifications:

QUALIFICATIONS:

Education   High School

Required Experience & Skills

•    Experience in a regulated industry preferred (firearms, defense, manufacturing, logistics, compliance, or similar)
•    Strong document control and organizational skills
•    Experience with ERP or inventory management systems preferred
•    High attention to detail and deadline discipline
•    Ability to handle sensitive and controlled information with discretion
•    Effective use of electronic communication tools (email, phone systems, etc.)
•    Must meet background and eligibility requirements consistent with firearms industry standards
•    Excellent computer skills including Microsoft Outlook, Word, PowerPoint, and Intermediate Excel proficiency required (sorting, filtering, reconciliation; pivot tables preferred)

Additional Eligibility Requirements

•    Must be at least 18 years old
•    Ability to legally possess firearms under applicable laws
•    Must know basic firearms safety
•    Ability to pass a criminal background test and drug test

PHYSICAL REQUIREMENTS & WORKING CONDITIONS:

The following are the physical requirements of this position, which all workers filling the position must be able to do or withstand each day:

Workload: Light work: Exerting up to 20 pounds of force occasionally, and up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects.

Vision: Maintain close visual acuity for computer work, data analysis, reading, and color recognition.

Mobility: Stooping, kneeling, crouching, reaching, standing for extended periods, walking long distances, pushing, pulling, and lifting as needed.

Dexterity: Perform tasks requiring fingering, grasping, feeling, and repetitive hand or wrist motions.

Communication: Speak clearly, follow and deliver detailed verbal instructions, and hear accurately (with or without correction).

Environment: Work in conditions that may include exposure to fumes, odors, dusts, mists, or gases.
