Position Purpose
The Investment Services Operations Specialist is responsible for the daily operational needs of the Investment Services Department. This role involves assisting the Investment Services Program Manager and Field Advisors, processing members' investment service needs, and performing tasks such as new account applications, check deposits, ACH disbursements, referral calling/follow-up, database organization, and other tasks as assigned.
Essential Functions and Basic Duties
Daily Tasks:
- Assist Investment Program Manager and Field Advisors
- Liaise with advisors, LPL Financial, insurance companies, and vendors
- Provide phone and office support
- Process deposits, ACH transfers, checks, and claims
- Print and mail statements, tax documents, and financial plans
- Assist with compliance duties
- Track referrals and follow up with members
- Schedule appointments
Weekly Tasks:
- Create and maintain databases
- Follow up with branches
- Fulfill weekly member service needs and follow-up requests
- Ensure compliance with regulations
- Develop relationships with broker/dealer support staff
- Work on regulatory licensing and continuing education
- Learn broker/dealer trading and service systems
Monthly Tasks:
- Visit branches to promote Investment Services
- Provide updates and training
- Attend departmental meetings
- Update knowledge and provide training
- Review / create monthly reports as directed
- Share best practices with staff
Qualifications
Skills/Abilities:
- Excellent communication with members and advisors
- Well-organized and able to prioritize tasks
- Ability to work independently and manage projects
- Flexible and willing to take on new tasks
- Committed to obtaining necessary licensing within designated time frames
Experience:
- 1-5 years in brokerage operations or advisor assistance preferred.
Knowledge:
- Understanding of investments, economics, financial markets, credit union products, and brokerage operations
- Proficiency in Excel, Word, and Outlook
Education/Certification:
- College degree in finance, economics, or related field preferred (or pursuing degree)
- FINRA Licensing preferred (or obtain Series 7 and 66 within 1 year of hire)
- Utah State licensing for Life/Health/Annuity preferred (or obtain within 1 year of hire)
