Role:
The primary role of this position is to provide member services, products and business practices so that we unlock and cultivate our members' financial future. To achieve this mission, the position must deliver
high‑quality service to both internal and external members. To provide clerical, administrative, and professional assistance to the President/CEO as well as Executive Leadership team.
Essential Functions & Responsibilities:
30% Provides confidential administrative support to the President. Strong ability to work around and with confidential information especially concerning Credit Union strategies, employment matters, and/or executive level decisions. Diplomacy, internal and external public relations, tailoring and delivering messages for desired organizational outcomes in coordination with the President/CEO. Acts as an ambassador for the organization, it's executive leadership team, and governance leadership in all interactions.
20% Provides administrative and project support (including information gathering, organization of data and tasks, communications,
research, analysis, and recommendation formulation) for objectives identified as contributing to annual Strategic Actions and Measurements.
10% Attends monthly Board of Director meetings in order to take and prepare minutes. Completes minutes for the President/CEO to review within 15 days of the Board meeting.
10% Performs various administrative work including: screening incoming mail, email, publications, and other correspondence. Prepares the monthly Board packet, ELT and
Management team agendas as required.
10% Collects and prepares information for the President/CEO use in discussions and meetings with other Credit Union managers, employees and
outside individuals.
10% Maintains the President/CEOs daily appointment calendar; makes travel and lodging arrangements for the President/CEO and other members of the Executive Leadership team, board, and Supervisory Committee as required. Coordinates meetings and events for the President and other members of the Executive Leadership team as required.
5% Composes letters and memoranda from dictation, verbal direction or from knowledge of organization policy or procedures; edits
written communications from word processing documents.
5% Performs other job-related duties as assigned.
Performance Measurements:
1. Provide informed, professional and personal assistance to all members, Board and Committee Members, Credit Union employees and business partners.
2. Meet all required time deadlines for mail/correspondence for CEO and Board material.
3. Maintain and keep current the Credit Union official policies, procedures and Board minutes and actions.
4. Organize the central files/records and maintain daily filing with accuracy.
5. Keep management informed regarding key operating issues affecting the department.
6. Provide completed travel arrangements for persons traveling prior to leaving and follow up with completing the necessary expense reports for the President.
7. Collect, organize, and conduct preliminary review of monthly expense sheets and corporate card statements from the Executive Leadership team for approval by the President/ CEO.
8. Prepare and distribute promptly monthly minutes ensuring on‑time delivery. Update information and provide it to appropriate parties with zero errors. May be required to work occasional Saturdays to prepare board packets.
Knowledge, Skills and Abilities:
Experience: Five years to ten years of similar or related experience.
Education: A high school education or GED.
Interpersonal Skills: Work involves extensive personal contact with members of the Board of Directors, community leaders, business leaders, and internal managers. Motivating others or getting them to do things that they might not do otherwise is a key to success for incumbents in this position. External contacts are vital, not only for the success of the position, but the success of the company overall. Strong organizational skills and attention to detail.
Other Skills: Microsoft Office experienced user with strong with Excel skills including the ability to create complex formulas, graphs, sorting data and pivot tables. Must have strong PowerPoint skills including the ability to create animations, embedding objects such as graphs, images, sound, etc. Excellent organizational and editing skills are required.
Physical Requirements: While performing the duties of the job, the employee is regularly required to stand, sit, walk, stoop, kneel, talk and hear. Vision requirements
include: close vision and the ability to focus. Nature of the position requires physical mobility and the ability to lift a maximum of 30 pounds.
Work Environment Full time employees are required to complete (16) hours of volunteerism and (8) hours for Part time
employees. All volunteer time has to be approved prior to event. In addition, needs to benefit or have an impact on the Cy‑Fair Community.
M-F and Occasional Saturdays
Salary : $72,000 - $75,000
