Billing Specialist

CXC Global is seeking a detail-oriented Billing Specialist to join our operations team & will be responsible for accurate and timely billing of clients for temporary, contract, and/or direct placement staffing services. This role will be part of the operations team and will closely work with Payroll, Sales, and Finance to ensure timesheets, rates, markups, and client agreements are correctly applied, invoices are issued on schedule, and billing discrepancies are resolved promptly. The ideal candidate has strong attention to detail, an excellent customer-service focus, understands pay/bill structures, and thrives in a fast‑paced, deadline‑driven environment.

Key Responsibilities

Billing & Invoicing

• Prepare, review, and issue client invoices for temporary, contract, and/or perm placement services
• Validate timesheets, hours worked, pay rates, bill rates, overtime, and differentials prior to invoicing
• Apply appropriate client-specific pricing, markup, discounts, and fee structures per contract
• Ensure billing aligns with payroll processing and client invoicing timeline

Contracts & Compliance

• Review customer contracts, statements of work, and amendments to ensure billing compliance
• Ensure adherence to client billing requirements (invoice formats, backup documentation, portals, deadlines)
• Maintain compliance with wage and hour regulations, co-employment considerations, and client audits

Reconciliations & Issue Resolution

• Research and resolve billing discrepancies, adjustments, credits, and rebills
• Partner with Operations, Payroll, Sales, and Account Management to resolve timesheet or rate issues
• Respond to client billing inquiries professionally and within service-level expectations, which may include regular client meetings weekly

Systems & Reporting

• Enter and maintain billing data in all relevant systems of record
• Submit invoices through client portals and VMS platforms (e.g., Fieldglass, Beeline, Coupa) as required
• Generate and maintain billing/invoice reports and audit documentation

Continuous Improvement

• Identify opportunities to improve billing accuracy, automation, and efficiency
• Support process documentation and internal controls related to billing and revenue recognition

Required Qualifications

• 2–4 years of billing or invoicing experience, preferably within the staffing or workforce solutions industry
• Strong attention to detail with high-volume invoice processing
• Proficiency in Excel and accounting/billing systems
• Ability to meet strict deadlines and prioritize in a fast‑paced environment
• Must have a strong customer-service focus, with 1-2 years of demonstrated client facing communication

Preferred Qualifications

• Working knowledge of staffing pay/bill models (hourly, overtime, double time, shift differential, expenses etc.)Experience billing through VMS platforms and/or client portals.
• Understanding of payroll, timekeeping systems, and revenue recognition concepts
• Bachelor’s degree in accounting, Finance, Business, or related field or Associate’s and equivalent combination of education and 4-6 years of experience
