We are a small, member-focused worker union. We are looking for a dependable, organized, and efficient adminastrative assistant to join our office team.
This position is ideal for someone who enjoys working in a professional but personable environment and is comfortable handling a variety of administrative, and front-office responsibilities.
Because we are a small office, we are looking for a self-starter who can work independently, take initiative, stay organized, and recognize what needs to be done without constant supervision.
Responsibilities
- Greet and assist union members and visitors in a professional and friendly manner
- Answer and direct incoming phone calls
- Respond to basic member questions and direct members to the appropriate union representative when necessary
- Perform general office and administrative duties
- File, organize, scan, and maintain paper and electronic records
- Make copies and prepare documents
- Perform accurate and timely data entry
- Maintain spreadsheets and member records
- Prepare and organize documents for meetings and union business
- Maintain confidentiality of member and union information
- Provide general administrative support to union officers and staff
- Perform other duties as needed
Qualifications
- Previous office administrative experience preferred
- Strong proficiency with Microsoft Word required
- Excellent data-entry skills and attention to detail
- Strong organizational and time-management skills
- Must be a self-starter and able to work independently
- Ability to prioritize tasks and meet deadlines without constant supervision
- Professional and friendly telephone and interpersonal skills
- Ability to handle confidential information with discretion
- Dependable, punctual, and professional
- Ability to work in a small-office environment and assist with a variety of tasks
- QuickBooks experience preferred
The Ideal Candidate
We are looking for someone who is organized, reliable, efficient, detail-oriented, and takes initiative.
This is a small union office, so the successful candidate must be comfortable wearing many hats. One minute you may be entering information , the next you may be answering the phone, greeting a member, filing paperwork, making copies, or helping with another office task.
We need someone who sees what needs to be done and gets it done.
You must be comfortable working independently, managing your time, and staying productive without someone constantly directing your work.
Schedule
This is a part-time position, with days and hours negotiable for the right candidate.
