The Director of Inventory & Medical Equipment Management is responsible for the strategic oversight of the hospital's medical and non-medical inventory, veterinary medical equipment, and supply chain operations to ensure uninterrupted, high-quality patient care in a fast-paced emergency and specialty environment. This leadership role develops and oversees inventory management strategies, equipment maintenance programs, vendor partnerships, purchasing initiatives, and cost-containment efforts while ensuring regulatory compliance and operational efficiency. The Director collaborates closely with clinical, operational, and financial leadership to support hospital growth, maintain equipment readiness, and optimize resource utilization.
Primary Responsibilities
Inventory Strategy & Management
- Provide leadership and oversight of all medical, surgical, pharmacy, laboratory, imaging, and general hospital inventory.
- Develop and maintain inventory control processes that maximize efficiency while minimizing waste and excess inventory.
- Establish and monitor par levels based on utilization trends, seasonal demands, and hospital growth.
- Oversee routine cycle counts, physical inventories, and reconciliation of inventory discrepancies.
- Analyze inventory metrics and implement process improvements to improve accuracy and reduce costs.
- Ensure inventory storage areas remain organized, secure, and compliant with hospital standards.
Veterinary Medical Equipment Management
- Develop and oversee a comprehensive preventive maintenance program for all veterinary medical equipment, including anesthesia machines, monitors, ventilators, infusion pumps, imaging equipment, laboratory analyzers, surgical equipment, dental equipment, autoclaves, and other clinical assets.
- Maintain an accurate inventory and asset management system for all medical equipment.
- Coordinate preventive maintenance, inspections, calibrations, certifications, and repairs with manufacturers and third-party service providers.
- Maintain maintenance records, service contracts, warranties, and regulatory documentation.
- Evaluate equipment performance, identify replacement needs, and participate in capital equipment planning and budgeting.
- Respond to equipment failures by coordinating timely repairs and minimizing disruption to patient care.
- Collaborate with department leaders to identify equipment needs and standardize equipment where appropriate.
Purchasing & Vendor Management
- Develop and maintain strategic relationships with vendors, distributors, manufacturers, and service providers.
- Negotiate pricing, contracts, rebates, and service agreements to maximize value.
- Evaluate vendor performance and identify opportunities for improved service and cost savings.
- Oversee purchasing activities while ensuring compliance with approved purchasing policies.
- Manage backorders, substitutions, and emergency procurement for critical patient care supplies.
Financial Management
- Assist in developing annual operating and capital budgets related to inventory and medical equipment.
- Monitor inventory expenditures and equipment maintenance costs.
- Analyze purchasing trends and recommend cost-saving initiatives without compromising patient care.
- Prepare reports on inventory utilization, equipment lifecycle costs, vendor performance, and financial performance.
Leadership & Collaboration
- Serve as the hospital's subject matter expert for inventory management and medical equipment operations.
- Collaborate with hospital leadership, clinical departments, finance, facilities, and operations to support organizational initiatives.
- Develop standardized inventory procedures across departments.
- Train and mentor staff on inventory best practices, equipment handling, and supply chain processes.
- Lead continuous improvement initiatives that enhance operational efficiency and service quality.
Systems & Reporting
- Utilize inventory and asset management software (e.g., Dayforce and other platforms) to monitor inventory levels, equipment assets, maintenance schedules, and purchasing activity.
- Develop dashboards and reports to support operational and financial decision-making.
- Maintain accurate records for inventory, equipment service history, warranties, recalls, and compliance documentation.
Compliance & Risk Management
- Ensure compliance with OSHA, DEA (where applicable), manufacturer recommendations, and hospital policies.
- Oversee management of recalled, expired, damaged, or obsolete supplies and equipment.
- Ensure all medical equipment remains compliant with manufacturer maintenance requirements and applicable accreditation standards.
- Promote safe handling, storage, and operation of inventory and medical equipment throughout the hospital.
Qualifications
- Bachelor's degree in Supply Chain Management, Business Administration, Healthcare Administration, Veterinary Technology, or a related field preferred.
- Five (5) or more years of progressive experience in inventory management, supply chain, materials management, or healthcare operations, preferably within a veterinary or healthcare environment.
- Previous leadership or management experience strongly preferred.
- Experience managing veterinary or healthcare medical equipment maintenance programs preferred.
- Strong knowledge of purchasing, inventory control, asset management, budgeting, and vendor negotiations.
- Demonstrated ability to analyze data, develop strategic initiatives, and manage multiple priorities.
- Proficiency with inventory management software, ERP systems, Microsoft Office, and reporting tools.
- Excellent communication, organizational, leadership, and problem-solving skills.
- Ability to work in a fast-paced, high-demand emergency and specialty hospital environment.
- Ability to lift up to 40 pounds and move throughout the hospital as needed.
Pay: $50,000.00 - $70,000.00 per year
