CARE MINISTRY COORDINATOR
The Care Ministry Coordinator at Custer Road United Methodist Church shall be a person of genuine and deepening Christian character, willing to grow as a loyal participant of a ministry team, able to work and communicate well and cultivate trust with other people in a growing congregation.
PURPOSE: The purpose of the Care Ministry Coordinator is to serve in a supportive role to multiple Care Ministers and Ministries. This position requires a unique blend of pastoral heart and administrative excellence, ensuring that every congregant—from those celebrating new births to those navigating the end of life—feels seen, supported, and loved. This role manages the intricate logistics of care-focused programming, maintains vital congregational records, and serves as a compassionate support to our congregation and church Staff.
HOURS: The Care Ministry Coordinator position is a part-time non-exempt position and is governed by Custer Road UMC’s Employee Handbook. This expected time commitment is 20 to 25 hours per week, which may include select Sunday mornings and some evenings and weekends. Compensation will be commensurate with experience.
STAFF SUPERVISION: Reports to Senior Associate Minister of CARE Ministries
RESPONSIBILITIES: In conformity with Custer Road’s policies and procedures as well as those contained in the United Methodist Book of Discipline, the position responsibilities will include those generally described below, but may not be limited to the following:
Pastoral Care & Congregational Support:
¨ Direct Care: Have an open door to provide emotional/spiritual support where needed.
¨ Life Transitions: Manage "Death Notices" and "Birth Notices" workflow, ensuring Staff are informed and the congregation is appropriately recognized in worship services and publications. Maintain the church death database spreadsheet.
¨ Grief Support: Oversee programs like GriefShare, Surviving the Holidays, and the mailing of Journeying through Grief booklets.
¨ Celebrations: Generate the weekly Birthday Call List, announce Staff birthdays and anniversaries during Tuesday Chapel time.
Liturgical & Special Events:
¨ All Saints Service: Lead the planning and execution of the annual service, including list verification, slide creation for "Saints," and coordinating with families.
¨ Memorial Services: Partner with ministers to plan services, manage facility logistics (eSPACE), coordinate with the Bereavement Team, and handle day-of setup/teardown.
¨ Communion Steward: Procure supplies and manage the setup for weekly Prayer Room communion and 1st Sunday Sanctuary/Venue services.
¨ Service of Light & Hope: Coordinate logistics, supplies, and programming for this special seasonal service.
Program Management & Leadership:
¨ CARE Team Leadership: Facilitate weekly CARE Zoom meetings to discuss pastoral concerns; organize monthly strategic planning sessions.
¨ Ministry Oversight: Provide administrative support (scheduling, communications, financials) for Celebrate Recovery, Treasured Times and Seniors on Stage.
¨ Bible Studies: Provide administrative assistance for Care Ministry Bible studies; manage curriculum ordering and participant communication.
¨ Staff Culture: Support "Staff Prayer Time" to foster a healthy, connected internal team by sending out schedules to participating Ministers and staff.
Administration & Records:
¨ Database Management: Maintain the accuracy of membership records (Arena/Arena Death Database), ensuring all contact info and life statuses are current.
¨ Columbarium: Assist with niche sales, inscriptions, and record-keeping in partnership with church leadership.
¨ Financial Stewardship: Plan and manage the annual CARE budget; reconcile expenses, track transit accounts, and report quarterly financials to ministry leads.
¨ Communications: Act as the liaison for the CARE website, social media requests, and weekly update announcements.
¨ Miscellaneous: Attend weekly Staff Chapel time, Staff meetings, CARE team meetings and other meetings and/or trainings as necessary.
QUALIFICATIONS/REQUIREMENTS:
¨ Must have a High School diploma, with Bachelor’s Degree preferred.
¨ Must submit to and clear a background check and complete Ministry Safe training.
¨ Must have a positive attitude, strong work ethic, and a spirit of grace and patience while working with church staff, church members and/or volunteers.
¨ Must have a strong commitment to the mission and values of Custer Road UMC.
¨ Spiritual Maturity: A deep commitment to the Christian faith and a calling to serve those in crisis or transition.
¨ Organizational Mastery: Exceptional ability to manage multiple calendars, databases (Arena, eSPACE), and complex event logistics.
¨ Counseling Skills: Ability to provide empathetic and grounded spiritual guidance. The ability to handle sensitive information with a high degree of confidentiality.
¨ Communication: Strong written and verbal skills for drafting death notices, letters to grieving families, and website updates. Excellent interpersonal skills are needed.
¨ Technical Proficiency: Comfortable with Microsoft Office (Excel/Mail Merge), Zoom, and church management software.
¨ Notary Public: Must be a Notary Public or willing to become one.
