Essential Job Duties

  • Provides a wide range of high-quality complex office administration and support to the senior brokers.
  • Reviews, prioritizes, directs and delegates a wide variety of complex and confidential business related requests that are presented to the broker for consideration.
  • Summarizes, prioritizes, and researches information into a concise and usable format for the broker to review.
  • Responds to or routes priority or confidential business related inquiries from external or internal sources with correspondence or other messaging on behalf of the broker.
  • Creates or directs creation of reports, charts, budgets and other presentation materials for the broker
  • Schedules and organizes complex calendar activities, working around scheduling conflicts and maintaining responsibility for the broker's professional calendar.
  • Manages end to end complex business related global and domestic travel arrangements and logistics for the broker, including expense reporting management and reconciliation.
  • Coordinates brokers communications, including taking calls, responding to emails and interfacing with clients, while maintaining discretion and instilling confidence in clients and staff.
  • Coordinates data from a variety of sources for inclusion in technical reports and presentations, performs independent research and prepares information for special projects as required. Delegates tasks to staff members when necessary while maintaining ultimate responsibility for the project’s successful completion.
  • Represents the broker by attending meetings in the broker's absence and speaking/presenting on behalf of the broker. (not in future state)
  • Partners with Office Operations personnel to ensure adequate availability and operation of office equipment and resources in support of the broker’s needs, making recommendations for enhanced efficiencies and troubleshooting issues. (not in future sate- Ops Specialist role?)
  • Independently manages business requests, determines the appropriate course of action, intervenes when necessary, and serves as a liaison between the broker and other key members of the management team.
  • Solely responsible for developing and maintaining efficient filing systems, leveraging technology and other solutions to ensure files are accurately maintained, archived, and readily available.
  • Has a broad knowledge and understanding of the company's operations and business objectives.

  • Contributes to expense control by reviewing expense and travel reports for cost efficiencies

  • Uses profiles and templates to improve efficiency of arranging travel and submitting expenses

  • Organize information to track for things such as, priority, urgent requests, absences, deadlines
  • Adept at using technology for scheduling, e-mail, and graphic skills; Microsoft office

Record and File Management

  • Uses consistent approach to classify/code files and records to be easily stored and retrieved
  • Applies company policy and procedures to record keepings
  • Effectively operates equipment required to manage records and files

General Office Support

  • Takes the initiative and appropriately administer general office activities such as ordering supplies, Prioritizes departmental projects and supports multiple requests
  • Completes assignments with sufficient attentions to detail to ensure accuracy
  • Creates reports by analyzing data and information with effective use of technology

Interaction With Others

  • Presents a professional image at all times to customer, co-workers and management
  • Communicate clearly and use discretion and tact when interacting with internal and external contacts in person, by phone and email
  • Uses proper phone etiquette, seeks all necessary information from a call (using effective questioning skills), and relays the proper message to the appropriate person
  • Uses knowledge of the department and business to inform, escalate and initiate actions when requires
  • Appropriately receives and acts on verbal and written directions
  • Takes an active role in the team by sharing information, asking for help and offering help when appropriate

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $20.43 - $24.03846
