Commercial Contracts Administrative Assistant
Location: Clover, SC (Hybrid: 4 days in office, 1 remote day)

Position Summary:
The Commercial Administrative Assistant plays a critical role in supporting post-award processes for commercial projects. This position ensures accurate contract intake, job setup, and compliance with contract requirements, enabling smooth operations and financial tracking.
Accuracy and accountability are paramount. Curtin Co. manages high-value contracts worth millions of dollars, and even a minor oversight can have significant financial and operational consequences. The ideal candidate understands how their work impacts the entire organization and approaches every task with precision and responsibility.
Key Responsibilities:
- Contract Management & Intake
- Receive and organize incoming contracts post-award.
- Route contracts to appropriate internal stakeholders for review and action.
- Identify and disseminate special contract requirements to relevant departments (e.g., Safety, HR, Accounting, Certified Payroll).
- Job Setup & Data Entry
- Perform detailed data entry in SAGE 300 to establish job and cost codes prior to project commencement.
- Ensure field and accounting teams have accurate job codes for proper cost allocation and reporting.
- Project Tracking & Forecasting Support
- Maintain an up-to-date list of awarded jobs and project timelines.
- Assist in forecasting by tracking project schedules and contract values.
- Change Order & Purchase Order Processing
- Support operations by timely tracking and processing P.O.s and Change Orders.
- Compliance & Documentation
- Review contracts for special compliance requirements and communicate obligations to responsible departments.
- Maintain organized records of contracts, job setups, and related documentation.
Qualifications:
- Education: High school diploma or equivalent; Associate degree preferred.
- Experience:
- 2 years in administrative or commercial support roles, preferably in construction or related industries.
- Experience with SAGE 300 or similar ERP systems is a plus.
- Legal assisting experience or familiarity with contract language is highly desirable.
- Skills:
- Exceptional attention to detail and accuracy—critical for managing high-value contracts.
- Strong organizational skills and ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication and interpersonal skills.
- High sense of accountability and understanding of how this role impacts company success.
