SUMMARY: The assistant provides high-level administrative assistant support to the Director of Human Resources and assists with the day-to-day operations of the department. Responsibilities include performing a wide range of administrative tasks and supporting the coordination of employee engagement initiatives and events. This is a full-time, hourly, non-exempt position.
ESSENTIAL ACCOUNTABILITY AND EXPECTATIONS:
- Maintains a high level of professionalism on the job and projects this professionalism to the Board, all team members (employed and volunteers), parents/patients, partners, and stakeholders at all times.
- Creates and maintains good working relationships with organizational leaders and team members.
- Builds relationships that will support fulfilling current patient needs and maximize our potential with new patients and organizations in the future.
- Checks emails and responds appropriately.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Proactively manages the Director’s calendar, scheduling meetings and appointments, and ensuring timely reminders for all critical deadlines and commitments.
- Prepares meeting agendas, gathers relevant documents and materials, and ensures that necessary technology and meeting spaces are available and operational, assists with presentation slides preparation, takes detailed minutes, and follows up on action items.
- Performs general administrative duties, including but not limited to administrative support, scanning, filing, faxing, copying, and printing.
- Executes all aspects of team experience events, activities, and initiatives.
- Owns the operations of our internal store, including inventory, ordering, and fulfilling orders.
- Greets and directs all internal and external guests in a professional and courteous manner.
- Undertakes special projects and assignments as directed by the Director of Human Resources.
- Tracks and submits expense reports for the Director in accordance with company policies.
- Runs errands as needed
- Performs other duties as assigned.
REQUIRED EDUCATION AND EXPERIENCE:
- High school diploma or GED.
- A minimum of two (2) years of experience performing administrative related duties.
- Demonstrated experience in writing, editing, and proofreading for diverse audiences.
- Professional experience in employee engagement or a related role.
- Proof of automobile liability coverage.
PREFERRED EDUCATION AND EXPERIENCE:
- Associate’s degree in human resources, business administration, or related field.
- One (1) year of assisting with events (internal or external).
KNOWLEDGE, SKILLS, AND ABILITIES:
- Intermediate proficiency of Microsoft applications including but not limited to Word, Excel, PowerPoint and Teams.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Strong problem solving and critical thinking skills.
- Ability to handle highly confidential information with the utmost discretion.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
- Prolonged periods of sitting at a desk and working on a computer.
- Frequently required to travel by car.
- Occasionally required to stand, walk, and move items up to 15 pounds.
