This is a full-time position located at the State Museum in New Orleans, LA.

This position supervises and performs organization and maintenance of collections records, forms, documents, files, and retrieval systems associated with the acquisition, accession, cataloging, packing, shipping, insurance, and storage for the care, custody, and control of the Collections of the Louisiana State Museum.

Minimum Qualifications

A bachelor’s degree in museum studies, a humanities field, historic preservation, or fine arts plus two years of museum or curatorial experience; or in a humanities field, historic preservation, or fine arts; OR

A bachelor’s degree in forestry, wildlife or natural resource management, botany, biology, or ecology plus two years of museum or curatorial experience; or in forestry, wildlife or natural resource management, botany, biology, or ecology; OR

A master’s degree in museum studies, a humanities field, historic preservation, fine arts, forestry, wildlife or natural resource management, botany, biology, or ecology plus one year of museum or curatorial experience; or in a humanities field, historic preservation, fine arts, forestry, wildlife or natural resource management, botany, biology, or ecology; OR

A doctorate degree in museum studies, a humanities field, historic preservation, fine arts, forestry, wildlife or natural resource management, botany, biology, or ecology.

Job Duties and Other Information

Job Duties:


  • Oversees development of agenda for pre-Accessions and Accessions Committee meetings, including information on donations, purchases, incoming and outgoing loans, conservation contracts, etc.
  • Provides required information to the Director’s office. Submits board memos to the Directors office for supplementary items to be included in bard agendas.
  • Responsible for ensuring that artifacts are transferred as necessary for accessions and board meetings.
  • Ensure that cage areas are kept in order.
  • Processes new acquisitions and related paperwork in accordance with the Museum’s Collections Management Manual. Assigns accession numbers and maintains accurate accession logs. Maintains master files, donor files, creating tiles for all new acquisitions and loans, and location in inventories.
  • Organizes and coordinates all collections-related incoming and outgoing loans.
  • Creates and processes loan paperwork. Responsibility includes the handling and/or packing of objects in conjunctions with curators, preparing condition reports, processing insurance claims, making shipping arrangements coordinating security needs, handling customs procedures, processing incoming and outgoing loans, and processing requests for rights and reproductions.
  • Works with collections curators and exhibits staff to coordinate object retrieval, incoming and outgoing loans.
  • Works on old loan resolutions as needed.
  • Maintains consistent collection databases, development of new databases, systems management, upgrading of systems.
  • Produces computer reports from database as needed. Seeks to further knowledge of registration and collections management methods.
  • In the absence of any curator, provides assistance to inquiries.
  • Works with supervisor, assistant registrar, and collection curators as a team member to realize common goals set for the collection’s division and the Museum as a whole.
  • Assists new collection staff members in understanding LSM record keeping and collections management procedures.
  • Works closely with assistant registrar to realize primary functions of registrar’s office. Includes training, solving personnel problems, conducting evaluations.
  • Supervises and coordinates volunteers and interns working on registration projects. Supervises collection inventory.
  • Orders all supplies for the registration office.
  • Works with security staff to recommend procedures for security of storage and exhibit areas.
  • Performs other duties as assigned.

Position-Specific Details:
  • Appointment Type: This is a probational appointment. Current permanent status state employees may be required to accept a probational appointment.
  • Work Schedule: This is a full-time position that reports in-office. This position may be required to work evenings, weekends, holidays, and/or overtime. This position may be required to travel.
