Job Goals:

  • To ensure the smooth operation of the principal’s office through application of secretarial and clerical duties.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Preferred experience: Three (3) years’ experience as a secretary with comparable responsibilities in the private or public sector, OR two (2) years’ experience as a secretary with comparable responsibilities in a school system.
  • Ability to meet suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  • Proficiency in oral and written communication skills.
  • Ability to learn local accounting programs within a two (2) month period after employment.
  • Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.
  • Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information.
  • Ability to be flexible and multi-task.
  • Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.
  • Ability to be punctual and in regular attendance.
  • Such alternatives to the above qualifications as the Board may require.

Performance Responsibilities and Essential Functions:

  • Demonstrates support for the school system and its vision, goals, and priorities.
  • Provides secretarial services for the principal and other administrators.
  • Performs usual daily office routines and procedures as required in the position.
  • Maintains student records of checkouts, attendance, and/or other student accounting as assigned.
  • Maintains a daily teacher attendance record and the accompanying records for substitute teachers as assigned.
  • Issues student check-in/check-out passes, tardy passes, and bus passes as assigned.
  • Answers telephone, receives/gives information, transfers calls, and sends e-mails to school personnel as assigned.
  • Greets visitors courteously, determines their needs, and directs them to the appropriate persons to assist them.
  • Maintains a calendar of appointments and a calendar of school events.
  • Prepares and distributes handbooks, memos, announcement sheets, letters, and other materials as assigned.
  • Distributes incoming mail, packages, and other materials to appropriate personnel.
  • Serves as school registrar-maintains permanent records, issues copies/mails transcripts as directed.
  • Completes monthly payroll for school personnel and forwards to County Office in a timely manner as assigned; prepares purchase orders for approval by principal as assigned.
  • Maintains student files on computer and keeps hard copy of attendance files as assigned.
  • Trains office assistants as assigned.
  • Maintains confidentiality regarding school/workplace matters in accordance with state and federal law.
  • Models and maintains high ethical standards.
  • Demonstrates initiative in the performance of assigned responsibilities, uses time wisely, and works efficiently.
  • Exhibits interpersonal skills to work as an effective team member.
  • Demonstrates initiative in identifying opportunities for improvement.
  • Responds to inquiries and requests in a timely and positive manner.
  • Maintains and submits required reports, records, and correspondence in a timely and accurate manner.
  • Properly cares for equipment and material resources of the school system.
  • Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local laws.
  • Reports absences and takes leave in accordance with Board policies and procedures.
  • Performs any other job-related duties as assigned by Supervisor(s).

Terms of Employment/Salary: As established by the Board and applicable state law.

Evaluation: Performance will be evaluated in accordance with the Board’s policy on evaluation of personnel.
