The Service Office Coordinator provides essential administrative support to the service department. This role ensures smooth daily operations through accurate work order processing, procurement, and dispatch backup.
Duties
- Review and verify work orders for completeness, accuracy, and compliance with company standards.
- Issue purchase orders for parts, materials, and services in a timely manner.
- Serve as backup dispatcher, coordinating technician schedules and responding to service requests as needed.
- Maintain records and assist with Preventative maintenance contracts.
- Keep clean and accurate records.
- Follow all system guidelines and operations as they are given to you
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent communication skills—both verbal and written—to effectively interact with staff, vendors, and visitors.
- Proficiency in Excel, NetSuite, SharePoint, SmartSheet's, is a plus.
- Strong schedule management abilities to coordinate multiple calendars efficiently.
- Exceptional multitasking skills with attention to detail in filing, front desk duties, and office organization.
- Ability to handle multi-line phone systems professionally while maintaining excellent phone etiquette.
