Job Description
CTO is seeking an experienced Assistant Property Manager that will serve as the operational and administrative backbone for certain CTO open air mixed-use properties. This role owns the full day-to-day rhythm of the assets, from field inspections, work orders, and vendor oversight to tenant service, lease compliance, accounts payable and collections. You will be the primary point of contact for tenants and service providers, and a critical partner to the Property Manager in keeping the portfolio performing at a high standard.
The ideal candidate brings hands-on property management experience, strong organizational discipline, and a proactive approach to problem-solving. This role carries real ownership and accountability from day one, with a path to Property Manager for the right person.
Responsibilities
Specific duties are expected to include, but not limited to, performing the following:
- Perform regular property inspections and oversee the work order systems. Work with the Property Manager, Facility Manager, and vendors to ensure work orders are completed in a timely manner and meet company standards. Develop and maintain the vendor network and supervise service providers to ensure compliance with service agreements and contracts.
- Provide excellent service to tenants, responding to needs and resolving administrative and building issues swiftly and in line with policies, procedures and lease commitments.
- Spearhead and own tenant rent collections and accounts receivables. Prepare Aged Delinquency reports with collection effort notes, draft late notices and demand/default letters as needed.
- Assist the Property Manager and the Marketing team with tenant communications and coordination around property events and initiatives.
- Responsible for expense tracking and accounts payables. Ensure invoices are uploaded and coded to the correct expense categories in a timely manner. Review, approve, and dispute invoices as needed.
- Aid Property Manager with monthly financial reporting. Ensure proper schedule of accruals and corresponding GL coding. Review budget variances and provide operational context and explanations to Property Manager.
- Support the Property Manager’s annual budgeting and reforecasting by gathering pricing, quotes, property summary reports, work order reports, account receivable explanation report, and preliminary budget variance explanations.
- Prepare bi-weekly property operation agenda and meetings.
- Oversee lease compliance and deadlines. Ensure timely tenant sales reporting is received. Track and file lease compliance documents and timelines.
- Assist with the preparation and delivery of annual common area estimates and reconciliation notices. Assist Property Manager with annual escrow tenant explanations and audit correspondence.
- Aid the Project Manager and Property Manager with construction project coordination and scheduling and tenant notices.
- Work on special projects and ongoing initiatives as assigned.
Qualifications
- Bachelor’s degree required.
- 3 years of combined experience across property management, administrative and operational roles; at least 1 year in a direct property management or assistant property management capacity preferred. Retail property management is strongly preferred.
- Commercial lease language literacy required. Experience with retail and office leases preferred.
- Excellent computer skills with proficiency in Microsoft Office suite, MRI, and Avid Exchange.• Demonstrated experience with accounts receivable and accounts payable tracking.
- Excellent written and oral communication skills and customer focus.
- Well-organized with excellent time management skills; meticulous and detail oriented.
- Demonstrated ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action to address same.
- Highly motivated and proactive, able to multitask effectively in a fast-paced, deadline-driven environment.
