Job Overview
We are seeking a dynamic and friendly Bilingual (English/Spanish) Receptionist to join our team in our Woodburn Office! In this vital role, you will be the first point of contact for visitors and callers, providing exceptional customer service while managing a busy front desk. Your energetic approach and organizational skills will ensure smooth daily operations, efficient communication, and a welcoming environment for everyone who walks through our doors. Fluency in both English and Spanish is essential to effectively serve our diverse community and support our office management needs.
Responsibilities
- Greet visitors warmly and direct them appropriately, creating a positive first impression.
- Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls accurately.
- Handle all front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming correspondence.
- Perform clerical tasks such as data entry, filing, proofreading, and maintaining organized records.
- Support office management by assisting with calendar management, appointment setting, and basic bookkeeping using QuickBooks Online.
- Utilize computer skills to operate Microsoft Office Suite (Word, Excel, Outlook) efficiently.
- Uphold excellent phone etiquette while providing customer support and addressing inquiries with clarity and patience.
- Assists A/R by calling clients for collection of outstanding balances, creates client auto pay function, modifies, cancels or changes rates as needed. Resolves and discrepancies in system and with client in a timely manner.
- Maintains client tax records through online workflow through scanning, saving and filing all electronic and physical files.
- Provides general support to bookkeepers and office manager, as well as handles checkout processes for clients during tax preparation season.
- Orders office supplies and equipment as needed and maintains an inventory record of same.
- Manages CEO’s daily agenda and ensures that CEO’s coffee and beverages are served and maintains an organized reception and breakroom area.
- Empties recycling and shredding bins, waters office plants and ensures adequate opening and closing procedures of office.
Qualifications
- Proven experience working at a front desk or in an office environment with strong clerical skills.
- Bilingual proficiency in English and Spanish is required for effective communication with diverse clients and staff.
- Demonstrated ability to operate multi-line phone systems confidently and professionally.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
- Proficiency in computer literacy including Microsoft Office (Word, Excel), data entry, and basic bookkeeping software like QuickBooks Online.
- Excellent customer service skills with a friendly demeanor and professional phone etiquette.
- Experience with calendar management, filing systems, proofreading, and time management is highly desirable.
