- Document & Case Management: Organize, maintain, and track legal files (CHRO, EEOC, Federal, State, etc) including subrogation documents, auto liability claims, worker's compensation files, and other litigation materials.
- Labor Relations & Grievance Support: Assist in compiling documentation, evidence, and chronological files for labor grievances, arbitrations, and disciplinary reviews.
- Records & Compliance: Help log, review, and process any Freedom of Information Act (FOIA) and public records requests that are received from CTDOT, ensuring compliance with state and federal regulations.
- Drafting & Correspondence: Prepare initial drafts of routine legal correspondence, memos, forms, and administrative notices for internal and external stakeholders (such as CTDOT or external counsel).
- Data Entry & Reporting: Maintain legal tracking databases and spreadsheets, ensuring all deadlines, hearings, and filing timelines are accurately logged and monitored.
- Administrative Support: Coordinate schedules, manage incoming legal correspondence, and perform general clerical duties as required to support administrative operations.
- Assists the General Legal Counsel and Human Resources Department with researching, evaluating and developing, new policies, procedures, and work processes to ensure legal compliance.
- Assists in any special projects and performs other duties as assigned, by General Legal Counsel, AGM of Administration, or General Manager.
- Work cooperatively with all levels of personnel.
- Attends in-service training, seminars or other opportunities for professional development as made available by the Agency. Provides training for Agency personnel as required. Actively participates in staff meetings, trainings, etc.
- Has thorough working knowledge of Agency policies and procedures, and collective bargaining agreements.
- May participate in the interview process, and the selection process for new positions.
- Assist other departments and divisions as assigned.
- Additional administrative duties as assigned.

- Minimum possession of an Associate degree in legal studies, paralegal studies, criminal justice, criminology or a closely related field & two (2) years of relevant work experience is required.
- An equivalent combination of education and work experience on a year-for-year basis can be substituted for the 2-year degree requirement.
- Experience as a legal assistant, paralegal, or high-level administrative assistant, preferably within a transportation agency, public agency, utility, or corporate law environment.
- Excellent time, attendance and work performance record required.
- Knowledge of local, state and federal rules and regulations, traffic laws, routes, union contract provisions, customer service skills, and other related information is required.
- Demonstrated ability to communicate clearly, build commitment to goals, offer instruction, with excellent written and verbal communication skills, interpersonal skills, tact and diplomacy.
- Demonstrated ability to handle highly sensitive and confidential personnel, labor, and legal matters with absolute discretion.
- Ability to work in a fast-paced environment, to multitask, manage multiple employees, ability to work both independently and in a team environment.
- Exceptional organizational skills with a proven track record of maintaining precise data integrity and managing strict deadlines.
- The ability to quickly learn internal software programs. Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint) and experience utilizing electronic document management systems or legal databases.
- A valid Driver’s License is required. Individual may be required to travel in the course of their daily work.
- Flexible availability, including nights and weekends as needed to support a 3-shift 24/7/365 operation.
- Ability to push, pull, or lift up to 50lbs occasionally.
- Ability to stand, walk, sit, squat, bend, and stoop for extended periods of time as needed for events, field work, or on-site assignments.
