PROCUREMENT & RISK COMPLIANCE COORDINATOR
UNIVERSITY STUDENT CENTER
(This is not a State/University Position)
SUMMARY: The University Student Center Procurement & Risk Compliance Coordinator supports the risk and compliance operations of the University Student Center and Associated Students, Inc. by reviewing event reservations, insurance documentation, waivers, and compliance requirements to ensure all activities meet University and departmental risk management standards. This position assists in coordinating vendor documentation, managing Certificates of Insurance (COI), performing safety inspections, and supporting various compliance-related administrative functions. Duties and responsibilities listed below are not all inclusive and other duties may be assigned. This position reports directly to the SC Human Resource and Risk Manager.

ESSENTIAL DUTIES & RESPONSIBILITIES:
Procurement Responsibilities:
- Prepares, edits, and maintains Contracts and Agreements, for internal and external stakeholders.
- Develops purchasing plans for equipment, services, and supplies.
- Negotiates ongoing contract agreements to ensure cost-effective pricing for products and services.
- Estimates and establishes cost parameters and budgets for purchases.
- Tracks and reports key functional metrics to reduce expenses and improve effectiveness.
- Ensures vendors meet contractual insurance requirements prior to finalizing purchase orders or service agreements.
- Reviews, validates, and processes departmental requisitions; creates purchase orders in the financial system ensuring compliance with procurement standards, vendor agreements, and fiscal controls.
Event & Risk Review:
- Reviews 25Live reservations for alignment with the Student Center Risk Sheet and communicates necessary updates.
- Evaluates event risk levels and ensures required documentation is in place prior to event approval.
- Obtains special event insurance coverage, especially for private and third-party events as needed.
Insurance & Vendor Compliance:
- Reviews and verifies Certificates of Insurance (COIs) and endorsements to ensure compliance with University and CSU requirements.
- Communicates with vendors and external partners to request accurate or updated insurance documentation.
- Tracks expiration dates of COIs and endorsements, ensuring timely collection of renewals.
Waivers & Documentation:
- Drafts and/or reviews participant and performer waivers for completeness and accuracy.
- Maintains organized and auditable records of all waivers, COIs, and insurance documentation.
Safety & Compliance:
- Conducts quarterly Injury and Illness Prevention Program (IIPP) inspections and assists in tracking corrective actions.
- Supports the management of Workers’ Compensation (W/C) claims and documentation.
- Serves as backup for CSULearn compliance training coordination and monitoring.
Administrative Support:
- Provides administrative support to the Risk and Compliance function.
- Collaborates with other Student Center and Associated Students, Inc. departments to promote risk awareness and ensure adherence to policies and procedures.
MINIMUM QUALIFICATIONS:
- Bachelor’s Degree finance, accounting, business administration, or related field.
- Proven working experience as a procurement specialist, procurement officer or head of procurement.
- Knowledge of sourcing and procurement techniques as well as a dexterity in “reading” the market.
- Talent in negotiations and networking
- Good knowledge of supplier or third-party management software.
- Aptitude in decision-making and working with numbers.
- Experience in collecting and analyzing data.
- Strong leadership capabilities.
TYPICAL PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
Sit for extended periods; frequently stand and walk; normal manual dexterity and eye-hand coordination; lift and move objects weighing up to 20 lbs.; corrected hearing and vision to normal range; verbal communication; use of office equipment, including computer, telephone, copiers.
Work is performed in an office environment and throughout the campus areas during student programs; continuous contact with other staff, students, faculty, and the public.

Must possess and maintain a valid CA Driver’s License, maintain appropriate auto insurance, and have access to a vehicle that is in safe mechanical condition.
