Job Overview
We are seeking a dynamic and highly organized Administrative Assistant/Coordinator to join our team! Responsibilities
Our Administrative Assistant/Coordinator will provide administrative support to our Studios. This is a multi-faceted position with a variety of administrative tasks in a fast-paced corporate office setting. Job responsibilities will include but are not limited to the following:
- Receptionist primary backup
- Coordinate schedules and schedule meetings
- Assist with PowerPoint presentations and meeting materials
- Create and handle routine correspondence
- Maintain and update information for company specific database
- Coordinate small and large meeting/events which include ordering food and room set up
- Assist with special projects (i.e., mailings, manuals, libraries) as requested
- Provide direct support to Architects and Interior Designers by maintaining and tracking project-related spreadsheets and project samples
- Communicate directly with project consultants and contractors to support project coordination and follow-up
Requirements
- Proven administrative experience in a professional setting, specifically an architectural or engineering firm is a plus
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and communication skills for front desk and client/consultant interactions
- Demonstrated time management skills with the ability to prioritize tasks efficiently
- Detail-oriented with a strong focus on accuracy and organization
- Reliable, punctual, and committed to consistent attendance

Pay: $22.00 - $25.00 per hour
