What are the responsibilities and job description for the Compliance & Regulatory Affairs Coordinator position at CSI Aviation, Inc.?
Primary work location is on-site in Killeen, TX. Hybrid work may be possible. Position may require occasional travel to other locations in the domestic United States.
Job Summary
Provides administrative and analytical support to the legal and administrative departments of a certificated air carrier and licensed healthcare provider. General duties include ensuring the organization is current on regulatory, contractual, and legal requirements across healthcare, aviation, and government contracting operations. Additional duties include supporting risk management activities throughout the organization, including maintenance and administration of insurance policies.
Essential Tasks/Functions:
· Monitor and help ensure ongoing organizational compliance with a wide variety of regulatory, contractual, and legal requirements across the company's operating sectors.
· Maintain working familiarity with organizational commitments under active contracts and applicable federal, state, and local law.
· Coordinate cross-departmental efforts to prepare regulatory submissions and filings, and review related data, reports, and supporting documentation for accuracy, completeness, and clarity.
· Maintain current knowledge of existing and emerging regulations, standards, and guidance documents relevant to the company's industries.
· Compile, organize, and maintain regulatory documentation databases and recordkeeping systems.
· Conduct routine contract audits and risk assessments to identify potential compliance gaps or exposure.
· Assist in the development, implementation, and maintenance of internal compliance policies and procedures, and in maintaining compliance with company policies, legal requirements, and industry best practices.
· Provide administrative support, including preparation, review, formatting, and organization of legal documents, correspondence, and regulatory filings.
· Gather, organize, and prepare information in response to regulatory inquiries, audits, or investigations.
· Maintain a central insurance database covering all applicable assets, including policy documentation, expiration dates, premium tracking, and carrier contact information.
· Track policy renewal dates and help ensure timely renewal, replacement, or placement of insurance coverage.
· Support administration of insurance portfolios, including data aggregation for renewals, certificate of insurance audits, and policy recordkeeping.
· Prepare summaries, trackers, and reports for compliance status and open items.
JOB REQUIREMENTS
Minimum Requirements:
Education: Undergraduate degree in business or other field relevant to the job duties, or equivalent years of experience as described below.
Professional Licensure: N/A
Background: Must pass a background investigation.
Experience: Compliance management, regulatory compliance, or legal/contract compliance; candidates with strong administrative, paralegal, audit, or regulatory-adjacent backgrounds.
Computer Skills: Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning document management or compliance tracking systems.
Other:
- Strong analytical skills, with the ability to assess risk, interpret regulatory requirements, and recommend practical compliance solutions.
- Excellent written and verbal communication skills, with the ability to prepare clear, accurate, and well-organized documentation.
- High degree of accuracy and attention to detail, particularly when reviewing data for regulatory submissions or insurance/contract records.
- Strong organizational and time-management skills; able to manage multiple deadlines and competing priorities.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive legal, contractual, and regulatory information.
- Ability to work collaboratively across legal, administrative, and operational teams.
Preferred Qualifications:
Professional Licensure/Certifications: Professional certification(s) in directly or indirectly applicable compliance or risk management related fields,
Experience: Familiarity with regulatory frameworks relevant to one or more of the following: healthcare (e.g., HIPAA), aviation (e.g., FAA regulations), or government contracting (e.g., FAR/DFARS).
