Position Summary
The Office Administrator will play a key role in supporting the daily operations of CTI’s corporate office. This position requires a detail-oriented, proactive, and organized individual who can manage administrative tasks, coordinate office events, and provide support to management and staff. The Office Administrator will ensure the smooth and efficient running of office functions, contributing to a professional and productive work environment.
Essential Duties and Responsibilities
- Oversee daily office operations, including supplies, equipment maintenance, and vendor coordination.
- Greet and assist visitors, answer phones, and handle general inquiries.
- Coordinate schedules, meetings, and travel arrangements for executives and staff.
- Prepare and distribute correspondence, reports, and presentations as needed.
- Maintain accurate records, filing systems, and databases.
- Provide administrative support to HR (onboarding coordination, completing I-9’s, New Hire Welcome)
- Assist with planning and execution of office events, meetings, and team activities.
- Ensure compliance with office policies, procedures, and safety regulations.
Qualifications and Educational Requirements
- 3–5 years of administrative or office management experience.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with collaboration tools (Teams, Zoom, Slack) preferred.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills.
- Professional demeanor and ability to interact effectively with staff, executives, and external partners.
- Self-motivated, detail-oriented, and capable of handling confidential information with discretion.
- Strong multitasking ability, with sound judgment, attention to detail, and prioritization skills.
