DETAILS ABOUT THE ROLE:
Serve as Administrative Assistant for Development Team, relieving them of a variety of technical and administrative duties; assist others assigned to supervisor by performing secretarial and clerical duties as required.
Prepare, draft, and transcribe correspondence, agendas, memoranda, reports, minutes, and other documents, including confidential material
Utilize a computer to enter data, prepare reports, and prepare correspondence or other purposes.
Support the VP of Development and Chief of Staff by managing calendars, scheduling meetings and conferences, arranging travel, and coordinating logistics for events and projects
Serve as a communication link between leadership, staff, ministry partners, and external contacts, ensuring that AIA's mission and values are reflected in all interactions.
Compose correspondence; report information in person, by text or email where judgment, knowledge and interpretation of policies and regulations may be necessary
Establish and maintain organized filing systems and documentation to support efficient departmental operation
Process reimbursements, transfers, payments, and other small dollar purchases, make travel arrangements, and perform special projects as assigned
Assist with donor engagement tasks, including managing gifts, sending thank-you notes, and supporting donor marketing efforts.
Collaborate with staff across Development and other departments to resolve issues, provide information, and ensure smooth workflow.
Experience and Skills:
Any combination equivalent to: two years college level work in office management and three years experience in secretarial or office management positions of increasing responsibility.
