What are the responsibilities and job description for the Administrative Assistant position at Crown Extension Studio?
About the Opportunity
We're a growing, multi-brand beauty company operating a hair extension franchise, a bridal hair and makeup company, a beauty marketing company, and nail services. We're building something bigger than a single salon, and we need someone who wants to be part of that.
This role sits at the center of our operations. You'll work directly with the CEO and Operations Manager, supporting the day-to-day execution that keeps multiple brands running smoothly. No two weeks look exactly the same. If you're organized, tech-savvy, passionate about the beauty world, and energized by being the person who makes things happen behind the scenes, this is for you.
There is real room to grow here. For the right person, this role can evolve into an operations or executive-level position as we expand.
What You'll Do
- Respond to tasks and requests from the CEO and Operations Manager across multiple brands
- Build and maintain KPI reports and dashboards to track business performance
- Manage and update projects in Asana, keeping tasks organized and on track
- Create and document AI-assisted administrative workflows to improve efficiency
- Support basic marketing reporting and coordination across brands
- Handle calendar coordination, scheduling, and follow-up communication
- Prepare meeting agendas, recaps, and internal documents
- Attend quarterly in-person meetings in Colorado Springs (annual attendance required, quarterly preferred)
- Jump in on special projects as the business grows and evolves
What We're Looking For
Non-negotiables:
- 2 years in an administrative or operations support role
- Expert-level proficiency in Google Suite (Docs, Sheets, Drive, Calendar, Gmail)
- Comfortable using AI tools to build workflows and handle administrative tasks
- Experience with project management software (we use Asana)
- Confident in video conferencing and digital communication
- Strong attention to detail and ability to manage multiple priorities independently
- Solutions-driven, creative thinking. Come to us not just with questions, but a possible solution as well.
- Ability to anticipate needs and what's next. We are looking for someone who looks to make things better and jumps in, not someone who just waits to be told what to do next.
What will set you apart:
- Genuine passion for the beauty industry
- Experience with basic marketing reporting or social media coordination
- Familiarity with CRMs or operational tools
- Interest in multi-brand business and entrepreneurship
- Curiosity about how growing companies are built and operated
The Details
- Full-time, 40 hours/week
- Mostly remote with hybrid preferred. Quarterly in-person meetings in Colorado Springs preferred, annual required
- Reports directly to CEO and COO
- Compensation: $45,000 to $55,000 depending on experience
Benefits:
- Simple IRA with up to 3% employer match
- Health sharing and direct primary care access with monthly stipend
- Anniversary bonuses starting at $2k at year two
- Paid vacation starting at year two
- Optional participation in empowerment meetings, book clubs, team-building events and other culture-building opportunities

Requirements:
- English required
- 2 years administrative experience required
