Receptionist
Cross Trailers in Braddyville is seeking a receptionist to join our Team. The receptionist is responsible for providing exceptional customer service to customers, employees and staff members.
Receptionist Job Responsibilities:
· Serve visitors by greeting, welcoming, and directing them appropriately.
· Notify relevant employees when visitors arrive.
· Keep an eye on security and telecommunications systems.
· Answer visitors’ questions, calls, and emails, and provide them with the relevant information.
· Maintain visitor, employee, and department directories and logs.
· Follow security procedures, such as monitoring the logbook and issuing visitor badges.
· Organize the reception area while complying with office procedures, rules, and regulations.
· Arrange meetings, schedules, and travel accommodations for senior staff.
· Keep a record of office supply inventory and expenses.
· Sign for deliveries and ensure all mail and packages are distributed accordingly.
· Accurately process incoming and outgoing invoices.
· Verify invoice details, including amounts, payment terms, and purchase order numbers.
· Ensure all invoices are coded correctly and approved for payment.
· Maintain organized and up-to-date invoice records.
· File and archive invoices and supporting documents as needed.
· Assist in reconciling invoices with statements and accounts.
· Communicate with vendors and internal departments to resolve invoice discrepancies.
· Respond to inquiries regarding invoice status and payments.
· Coordinate with the accounts payable and receivable teams to ensure timely processing.
· Enter invoice data into the accounting system accurately and efficiently.
· Generate and distribute regular reports on invoice status and outstanding payments.
· Assist in month-end and year-end closing processes by providing necessary documentation.
· Ensure compliance with company policies and financial regulations.
· Follow established procedures for invoice processing and record-keeping.
· Identify opportunities for process improvements and suggest best practices.
