Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems with professionalism, directing calls accurately and efficiently.
- Handle scheduling, calendar management, and appointment setting for staff or departments.
- Maintain accurate data entry, filing systems, and document proofreading to support administrative operations.
- Assist with office management duties such as supply inventory, organization of files, and general clerical tasks.
- Provide customer support through effective communication and problem-solving to address inquiries or concerns.
- Support bookkeeping activities using QuickBooks or similar accounting software when necessary.
- Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and documentation.
- Demonstrate excellent phone etiquette while managing incoming calls and messages with professionalism.
- Perform additional administrative duties including typing, data entry, and supporting personal assistant or medical/dental receptionist functions as needed.
Experience
- Prior experience in office management, clerical work, or administrative support roles is required.
- Proven experience working with multi-line phone systems and customer service environments is essential.
- Familiarity with QuickBooks, Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry procedures is highly desirable.
- Bilingual skills are preferred to effectively serve diverse client populations.
- Experience in medical or dental receptionist roles can be advantageous but is not mandatory.
