TITLE: Training& Volunteer Manager

HIRING RANGE: $64,480 to $65,900
PRIMARY OBJECTIVE:
The Crocker Art Museum brings people together and connects them in unexpected ways with art, ideas, each other, and the world around them. This position helps fulfill this by ensuring that all Museum staff and volunteers are well oriented, provided with continuing education and development opportunities, and feel supported and valued.
DUTIES AND RESPONSIBILITIES:
Volunteer Management:
Develop and continually refine a robust volunteer program from recruitment through recognition.
- Works with all departments to develop and maintain a comprehensive volunteer needs assessment.
- Manages recruitment, orientation, training, and professionalism of volunteers.
- Tracks volunteers, and records skills, performance, availability, and scheduling through Volgistics or other software system.
- Helps develop a volunteer benefits and requirements program.
- Develops and implements volunteer appreciation and stewardship activities.
- Works with development to secure funding for volunteer programs.
- Creates and maintains a volunteer manual that provides museum information, scheduling procedures, job descriptions and expectations.
- Schedules volunteers based on departmental needs and organizational priorities and contacts volunteers to confirm their assigned role as well as their shifts’ start and end times.
- Helps provides ‘tabling services’ at community events and festivals.
- Works to keep volunteers properly informed about the Museum and their duties, through orientation meetings, group sessions, manuals, emails, and phone calls.
- Ensures proper background checks are performed.
- Maintains and reports monthly volunteer statistics.
- Coordinates with the Docent, Board, and other specific volunteer programs.
- Works with appropriate staff to ensure volunteers are properly trained in their area of service.
Staff Orientation & Training Coordination:
- Helps develop and systematize a comprehensive onboarding and orientation program for new hires.
- Helps create an institution wide employee development program.
- Assesses training needs throughout the Museum.
- Helps conceive, program, teach and coordinate a variety of training programs for staff that build institutional capacity and support career, management, and leadership development.
- Ensures required training is completed and tracked.
- Ensures that Employee Handbook is updated as needed and disseminated to staff.
- Ensures new staff procedures are well communicated and training is provided to all.
- Helps write and maintain Staff Orientation and Culture materials.
- Helps train and coach managers and others involved in employee development efforts.
All other duties as assigned.
SKILLS AND EXPERIENCE:
- BA degree and a minimum of 3 years in volunteer administration or human resource management.
- Knowledge of methods related to the conduct of volunteer programs for non-profit organizations.
- Excellent public speaking skills.
- Demonstrated ability to communicate, motivate, lead, and relate effectively to a wide variety of individuals.
- Strong writing and editing skills.
- Demonstrated customer service skills.
- Ability to develop and manage complex projects and budgets within guidelines.
- Ability to work both independently and in cross-functional teams.
- Ability to solve problems creatively and effectively.
- Outstanding organizational & time management skills.
- Experience with program evaluation.
- Excellent computer skills including excel, word processing, and database management, experience with Volgistics a plus.
- Adaptability, flexibility, and ability to see change as an opportunity rather than an obstacle.
- Proven ability to handle confidential information with discretion and diplomatic skills.
- Ability to monitor work to ensure quality and accuracy.
- Understanding of and affinity for art and museums and their missions.
- Bilingual highly desirable.
INSTITUTIONAL RESPONSIBILITIES:
- Support the Museum’s mission, vision, values, strategic plan and institutional DEAI initiatives.
- Commit to a positive organizational culture based on mutual respect, cooperation, and openness to other’s perspectives.
- Represent the Crocker at a variety of programs and functions.
FISCAL RESPONSIBILITIES:
- Assist the Director of Human Resources in preparing the annual budget and work plan and work within established budgets.
- Take care to use Crocker resources responsibly.
- Demonstrate accuracy and thoroughness when dealing with financial tasks.
PHYSICAL REQUIREMENTS:
The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
The employee is occasionally required to stand, walk and/or sit for long periods of time. They must have physical dexterity and the ability to carefully handle objects, as well as ability to lift and move items of various weights and sizes. Positions have occasion to lift and/or move objects of 15-20 lbs.
WORK SCHEDULE:
On-site, 40 hours/week; hours are generally 8AM to 5PM but may be off shifted to accommodate evening and weekend events and programs (on- or off-site).
