JOB OVERVIEW
The Crocker Art Museum is seeking a dynamic and detail-oriented Temporary Event Assistant to support our Private Events Department during a busy season. This position plays a critical role in ensuring the success of private events at the Museum. The ideal candidate is highly organized, professional, and comfortable engaging with clients, vendors, and staff in a fast-paced environment.
DUTIES AND RESPONSIBILITIES
- Day-of Event Assistance: Serve as the on-site lead for private events including weddings, corporate functions, and social gatherings. Responsibilities include vendor and client coordination, timeline management, and ensuring adherence to Museum policies.
- Client Communication & Inquiry Follow-Up: Respond promptly and professionally to event inquiries via email, Honeybook software, and phone. Provide detailed information about event offerings and availability.
- Venue Tours: Conduct guided tours of the Museum for prospective rental clients, providing insight into event spaces, logistics, and policies.
- Internal Communication & Collaboration: Communicate and collaborate with internal teams, including operations and events departments, to support private event needs.
- Administrative Support: Assist with event documentation, vendor coordination, internal calendars, and reporting as needed.
SKILLS AND EXPERIENCE:
- Previous experience in event coordination or hospitality preferred
- Excellent communication and interpersonal skills
- Strong organizational skills and attention to detail
- Ability to work evenings and weekends as needed
- Comfortable working both independently and as part of a team
- Familiarity with museums or cultural institutions is a plus

WORKING CONDITIONS:
Customer-facing work and subject to long periods of standing and walking. The noise level in the work environment is usually moderate to loud depending on the event. Ability to traverse all parts of the Museum quickly.
