You will make a difference.Pay Rate: $19.00 per hourThe Administrative Assistant at Bethel Gardens will receive general supervision, direction and guidance from the Community Manager. The Administrative Assistant will assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail and generally being a helpful and positive presence in the workplace. The Administrative Assistant must be professional, polite, and attentive while also being accurate. The Administrative Assistant should always be prepared and responsive, willing to meet each challenge directly, must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, the Administrative Assistant should have a genuine desire to meet the needs of others. This role will be responsible for but not limited to:Comply with established policies and procedures and not take any actions to such guidelines without authorized approvalHandle telephone calls professionally and in a prompt manner.Ensure resident selection and orientation follows the HUD Manual and the Community Realty Management Occupancy Manual.Maintain and organize resident files according to the CRM Residential Occupancy Manual.Assist with leasing of vacant apartmentsEnsure all certifications and recertifications being conducted follow the HUD ManualMaintain the waiting list according to the HUD Manual. Make sure all applications are added to the waiting list and processed in a timely mannerEnsure EIV and TRACS are utilized according to HUD protocolWrite work orders immediately and process them for the maintenance departmentAssist management on required paperwork for new move-ins, move-outs, recertifications and other HUD required paperworkCollect rent and other payments on a daily basis and prepare for depositPrepare computer reports periodically required by CRM Residential and file accordinglyAssist residents with various local social services and other related agenciesAssist Community Manager in court when requiredAssist Community Manager with newsletters and other marketing materialContribute to resident satisfaction and the achievement of property goalsRequirements: High School diploma or equivalent education requiredPrevious experience as an administrative assistant requiredProficiency in Microsoft Office (Excel and PowerPoint in particular)Ability to work with a variety of people and make them feel comfortable quicklyMust be able to multi-taskDrivers license required and reliable transportation Ability to work any scheduled hours as well as additional hours needed to complete the jobThe position requires effective oral and written communication skillsStrong customer service skills requiredMust have strong organizational and time management skillsPart Time - M-F 9:30am-4:00pmAbout CRM Residential: CRM Residential is an award-winning full-service property management company which professionally manages 11,000 apartments valued in excess of one billion.
