Event Coordinator (Part-Time)
Critter Barn | Community Events & Fundraising
Pay Rate: Hourly, based on experience
Status: Part-Time, Year-Round (approximately 20 hours/week; varies seasonally)
Schedule: Flexible; hours increase leading up to and during major events and may include evenings and weekends
Position Overview
The Event Planner is responsible for planning, coordinating, promoting, and executing Critter Barn’s on-farm events throughout the year. This role plays a key part in increasing event attendance, enhancing guest experience, and ensuring events align with Critter Barn’s mission and brand.
Events include, but are not limited to:
- Spring Fling
- Winterfest
- Soaring Into Summer
- Running of the Lambs
- Boo at the Farm
- Derby Night
- Live Nativity
- Additional community and fundraising events as created
The ideal candidate is highly organized, detail-oriented, creative, and enjoys working in a farm environment in all types of weather while delivering high-quality events for families and supporters.
Key ResponsibilitiesEvent Planning & Execution
- Plan and manage all aspects of Critter Barn events from concept through execution
- Develop detailed event timelines, layouts, staffing plans, and run-of-show documents
- Be present and actively lead on-site during events
- Ensure events are safe, welcoming, and engaging for all ages and family types
- Evaluate events post-event and identify opportunities for improvement
Attendance Growth & Guest Engagement
- Collaborate with staff to increase attendance and participation at events
- Ensure events are accessible and appealing to a wide range of families and guests
- Monitor guest flow and overall experience during events
Team & Cross-Department Collaboration
- Work closely with the Programming Coordinator, Livestock Operations Coordinator, Education Coordinator, Business Development staff, and Executive Director
- Attend monthly event coordination meetings
- Coordinate logistics related to animals, programming, facilities, staffing, and guest services
Volunteer Coordination
- Assist with recruiting, scheduling, and overseeing adult volunteers
- Utilize Critter Barn’s adult volunteer platform (Boomerang)
- Provide clear communication and direction to volunteers before and during events
Promotion & Marketing Support
- Collaborate with staff on event promotion and marketing efforts
- Help ensure accurate event details, timelines, and messaging are shared
- Support on-site signage, schedules, and guest communication
Staff Goals & Expectations
Critter Barn staff are expected to:
- Be positive, professional, and mission-driven
- Create welcoming, high-quality experiences for all guests
- Communicate clearly and work collaboratively across teams
- Take initiative and anticipate event needs
Reporting Structure
- Works collaboratively with Coordinators and Business Development staff
- Reports to the Executive Director
Qualifications
- Experience planning and executing events (community, nonprofit, hospitality, or fundraising preferred)
- Strong organizational and project management skills
- Excellent attention to detail and follow-through
- Strong communication and interpersonal skills
- Ability to manage multiple events and deadlines simultaneously
- Comfort working outdoors on a farm in varying weather conditions
Preferred Qualifications
- Experience increasing event attendance or engagement
- Experience working with volunteers
- Background in nonprofit, agriculture, hospitality, or family-focused events
- Familiarity with event promotion or marketing support
Work Environment & Physical Requirements
- Outdoor, farm-based setting
- Standing and walking for extended periods during events
- Ability to lift and move light equipment and supplies
- Willingness to work evenings, weekends, and variable hours

Employment Terms
This is a position classified as exempt under the Fair Labor Standards Act (FLSA). Employment with Critter Barn is at-will, meaning that either the employee or Critter Barn may terminate the relationship at any time, with or without cause and with or without notice.
Pay: $22.00 - $25.00 per hour
