The Executive Assistant provides high-level administrative and strategic support to senior leadership at Critical Systems, a fast-growing engineering services firm. Duties and Responsibilities:
Executive Support
- Manage complex calendars, scheduling, and meeting coordination for senior executives
- Prepare agendas, presentations, reports, and briefing materials
- Handle confidential information with discretion and professionalism
- Coordinate travel arrangements, itineraries, and expense reporting
- Serve as a gatekeeper, prioritizing communications and requests
Communication & Coordination
- Act as a liaison between executives, internal teams, clients, and external partners
- Draft and edit professional correspondence, reports, and internal communications
- Support cross-functional collaboration across sales, engineering, and operations teams
- Assist in preparing client-facing materials and proposals
Operational & Project Support
- Track key initiatives, deadlines, and follow-ups to ensure execution
- Support project coordination by organizing documentation and communications
- Assist with internal process improvements and administrative systems
- Maintain accurate records, files, and documentation
Meeting Support
- Coordinate internal meetings, leadership sessions, and company hands-on events
- Take meeting notes and track action items
- Assist with logistics for client meetings, industry events, and team functions
Required Qualifications:
- Bachelors degree or equivalent experience preferred
- 35 years of experience in an executive assistant or senior administrative role
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Ability to multitask, prioritize, and adapt in a fast-paced environment
- Attention to detail and problem-solving mindset
- Professionalism and discretion with sensitive information
