At Frost Law Firm, we are devoted to representing individuals and families impacted by mesothelioma, asbestos exposure, and catastrophic injury. Founded by attorney Scott Frost, whose personal family experience with asbestos illness inspired his legal career, our firm is deeply rooted in advocacy, justice, and compassion. With offices in California, Hawaii, and across the U.S., we have built a reputation for taking on some of the most complex asbestos and personal injury cases, ensuring that our clients receive both strong legal representation and human-centered care.

Our work extends beyond the courtroom. We are advocates for veterans exposed to asbestos, educators through our blog and client resources, and partners to referring counsel nationwide. Every member of our team plays a vital role in delivering justice, and as a Settlement Coordinator, you will be at the very heart of our financial operations, ensuring that clients receive their settlements in a timely, accurate, and compliant manner.

At Frost Law Firm, the role of Settlement Coordinator is a pivotal embodiment of our commitment to integrity and client service. This position bridges the gap between case resolution and financial execution, making sure that once justice is won, the promise of compensation is fulfilled without error or delay. Your attention to detail and proactive management of settlement processes will ensure compliance with strict timelines, accurate accounting, and seamless client communication. This role is essential to both client trust and firm revenue, reinforcing our standing as a trusted and compassionate legal advocate.

What you’ll do:

  • Settlement Management: Own the full settlement process end to end. This includes obtaining releases, sending them to clients for signature, following up, returning to defense counsel, and preparing complete settlement packages that are ready for review and signature.
  • Payment Tracking: Calendar and monitor settlement payment due dates, follow up on overdue payments, and ensure timely receipt.
  • Client Communication: Notify clients promptly upon receipt of funds, keeping them informed at every stage.
  • Disbursement Preparation: Create detailed disbursement sheets factoring in firm expenses, liens, and settlement terms; prepare checks and cover letters; coordinate mailing.
  • Compliance Oversight: Ensure all disbursements comply with state law, such as notifying clients within the required timeframe when funds are received and completing distributions within the mandated number of days.
  • Accounting Coordination: Partner with the CFO and accounting team to reconcile expenses, approve payouts, and issue checks.
  • Invoice Handling: Process settlement-related and other approved invoices, including printing and mailing checks.
  • Documentation & Reporting: Maintain accurate records of settlement status, payments, and distributions; provide updates to leadership.
  • Case Organization: Manage multiple settlements simultaneously, including bundled releases and complex disbursements.
  • Onsite Engagement: Thrives in an in-office role where collaboration and direct engagement with colleagues are integral to success. While the role will begin on a hybrid basis, it is intended to transition to fully in-office in the near future.

What we’re looking for:

  • Experience: 1–2 years in accounting, bookkeeping, or financial coordination (experience with law firm trust accounting is a plus).
  • Technical Skills: Proficient with financial systems such as QuickBooks, case management software such as FileVine, and productivity and communication tools like Microsoft 365, Slack, and Ooma.
  • Organization & Task Management: Highly organized with strong calendaring and tracking skills, able to manage multiple cases and deadlines simultaneously. Brings a project management mindset with effective follow-up, ensuring nothing falls through the cracks.
  • Resourcefulness & Problem-Solving: Demonstrates independence and persistence, able to work through challenges without constant supervision. Brings a resourceful approach to finding solutions and securing information.
  • Communication: Clear, professional communication with clients, attorneys, and opposing counsel.

Why you should work here:

  • Meaningful Work: Play a direct role in ensuring clients receive life-changing compensation after hardship.
  • Empowering Culture: Join a firm built on empathy, advocacy, and integrity, where every team member’s contributions matter.
  • Veteran & Community Advocacy: Be part of a team that extends its mission beyond the courtroom, with deep roots in community and veteran support.

Additional perks:

  • Health & Wellness: Comprehensive healthcare coverage included for full-time employees.
  • Retirement:Get access to a 401(k) plan to support your long-term financial growth.
  • Paid Time Off: Generous PTO with flexible scheduling to promote work-life balance and personal well-being.
  • Bonuses: End-of-year performance-based bonus opportunities tied to individual and firm-wide achievements.
