We’re seeking a professional, organized, and customer-focused Operations Administrative Assistant to join our team. This role is the first point of contact for visitors, customers, and vendors—setting a positive tone for every interaction while supporting the Operations team with essential administrative and operational tasks.

What You’ll Do:
· Greet and assist visitors, customers, and delivery personnel.
· Answer and route a high volume of calls and emails.
· Provide customer support: billing inquiries, scheduling, and basic troubleshooting.
· Maintain organized filing systems, binders, and digital records.
· Process payments and collection calls.
· Create and manage security plans, alarm certificates, maps, and SOPs.
· Handle incoming/outgoing mail, shipping, and errands as needed.
· Support operations with job intake, change orders, and subcontractor communication.
· Prepare and distribute invoices and key fob/badge orders.
·Utilize tools such as Microsoft Office, DocuSign, and internal databases.
