Job Summary
The Ambulatory Services Coordinator supports the daily operations of outpatient and ambulatory care services by facilitating scheduling, maintaining accurate patient records, and assisting with clinical and administrative workflows. This role ensures the efficient coordination of services, supports interdisciplinary teams, and contributes to high-quality patient care and satisfaction. The Ambulatory Services Coordinator serves as a liaison between patients, providers, and staff to ensure seamless care delivery and operational effectiveness.
Essential Functions
- Coordinates daily operations of the ambulatory service area, including scheduling patient appointments, preparing documentation, and facilitating clinical workflows.
- Serves as a point of contact for patients, answering inquiries, assisting with registration, and ensuring accurate completion of pre-visit paperwork.
- Maintains and updates patient records in compliance with organizational policies and HIPAA regulations.
- Assists in preparing clinical documentation, encounter forms, and other patient-related materials, ensuring timely and accurate data entry.
- Collaborates with physicians, nurses, and administrative staff to support efficient care coordination and patient flow.
- Prepares materials for clinical meetings, tracks follow-up appointments, and ensures all relevant data is communicated across the care team.
- Monitors office and clinical supply inventory, placing orders as needed to support uninterrupted patient care.
- Performs other duties as assigned.
- Maintains regular and reliable attendance.
- Complies with all policies and standards.
Qualifications
- 1-2 years of experience in an outpatient, ambulatory, or medical office setting required
- Experience in healthcare scheduling and patient records management preferred
Knowledge, Skills and Abilities
- Knowledge of outpatient clinic operations and scheduling systems.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficient in electronic health records (EHR) systems and Microsoft Office Suite.
