Role Description The Accounting Administrative Assistant is a full-time, on-site role based in Spring, TX, supporting both the accounting function and general office operations. Day-to-day responsibilities include processing invoices, assisting with accounts payable and receivable, and entering financial data into accounting software with accuracy and timeliness. The role will also support administrative tasks such as managing documents, organizing digital and physical files, answering phones, scheduling meetings, and assisting with correspondence. The Accounting Administrative Assistant will help prepare basic financial reports, coordinate with vendors and clients regarding billing questions, and ensure records are organized for internal review. This position works closely with the leadership and operations teams to keep financial information current and administrative processes running smoothly.
Qualifications
- Strong administrative skills, including Administrative Assistance, organization, document management, and scheduling.
- Foundational knowledge of Accounting and Finance principles and comfort working with basic financial data.
- Experience using Quickbooks and related tools to enter, track, and reconcile transactions.
- Proficiency with Invoicing processes, including creating, sending, and tracking invoices and payments.
- Attention to detail, accuracy with numbers, and the ability to meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office or similar productivity tools (especially Excel and Word).
- Strong written and verbal communication skills and a professional, customer-focused demeanor.
- Ability to work on-site in Spring, TX and collaborate effectively with construction and design teams.
- Previous experience in retail, construction, design-build, or a related industry is a plus.
- High school diploma or equivalent required; additional coursework or certification in accounting or business is preferred.
