Summary Of Essential Job Functions
- Assist with daily office set up and closure
- Greet and direct guests and vendors
- Answer, direct, and take messages for incoming calls
- Perform general office duties including typing, creating labels, filing, scanning, faxing, and composing e-mails in an executive office environment
- Assist in arranging travel plans for multiple Executives
- Assist in proofreading documents for accuracy and completeness
- Assist with bookkeeping tasks as needed
- Assist in scheduling appointments and coordinating meetings for team members
- Manage calendars for multiple Executives
- Organize and coordinate meeting functions for Executives, Board of Directors, and guests
- Assist in preparing reports, presentations, and other materials as needed
- Monitor office supply stock and create orders as necessary
- Take detailed minutes at meetings, ensuring accuracy and completeness
- Expense management – tracking and submitting expense reports for multiple Executives
- Take day-to-day direction from the senior executive assistant while reporting to the CHRO
- Perform other duties as assigned
- Proficiency in Microsoft Office Word, Excel and Outlook at an intermediate level or above
- Proficiency in Microsoft PowerPoint
- Possesses a strong understanding of office procedures and practices
- Experience with a Board of Directors at a financial institution a plus
- Excellent phone and scheduling skills
- Speaks clearly and eloquently, representing the office in a professional manner
- Superior interpersonal, verbal, and written communication skills
- Ability to manage multiple deadlines
- Ability to work independently as well as part of a team in a fast-paced environment
- Must be dependable, timely, have a positive attitude, and a team work ethic
- Ability to handle confidential information with discretion
- Must be comfortable with dogs
- Understanding and knowledge of Robert’s Rule of Order a plus
