Job Overview
We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring the smooth and efficient functioning of the office environment. Your energetic approach and attention to detail will help foster a welcoming atmosphere for clients, visitors, and team members alike. This position offers an exciting opportunity to utilize your diverse skill set in office management, customer service, and administrative support to make a meaningful impact every day.

Schedule: Monday - Friday : 7:30 - 4:00pm

Language Requirement: Must speak Spanish and English

Responsibilities

  • Manage administrative operations, new employee onboarding, scheduling deliveries, collect payments, pay company bills, payroll, etc.
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents.
  • Perform data entry tasks with high accuracy using Microsoft Excel and other office software.
  • Support bookkeeping activities using QuickBooks or similar accounting tools, including invoicing and expense tracking.
  • Assist with calendar management and scheduling deliveries for staff.
  • Provide exceptional customer support by addressing inquiries via phone or email and ensuring client satisfaction.
  • Handle clerical duties such as proofreading documents, managing correspondence, and preparing reports.
  • Oversee office supplies inventory and coordinate procurement to ensure smooth daily operations.
  • Support special projects such as event planning or office organization initiatives as needed.

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and computer literacy.
  • Experience with QuickBooks or similar bookkeeping software is required.
  • Excellent phone etiquette skills and experience operating multi-line phone systems.
  • Bilingual abilities are required to effectively communicate with diverse clients and team members.
  • Strong typing skills with attention to detail for proofreading and data entry tasks.
  • Previous clerical experience in a professional setting such as medical or dental reception is advantageous.
  • Demonstrated ability to manage time effectively and prioritize tasks efficiently.
  • Knowledge of office equipment operation including printers, scanners, and fax machines is desirable.
