Position Overview
We are seeking a highly organized and dependable Office Administrator to support daily operations in our fast-paced Swiss-style CNC lathe machine shop. This role serves as the first point of contact for customers, vendors, and visitors while assisting with scheduling, administrative tasks, and general office coordination. The ideal candidate is detail-oriented, professional, and comfortable working in a manufacturing environment.
Key Responsibilities
Reception & Front Office
- Answer and direct incoming phone calls and emails
- Greet customers, vendors, and visitors in a professional manner
- Manage incoming and outgoing mail and deliveries
- Maintain a clean, organized front office environment
Customer Service
- Communicate with customers regarding order status, delivery timelines, and basic inquiries
- Assist with processing purchase orders and sales orders
- Coordinate documentation and order confirmations
- Maintain customer records and correspondence
Scheduling & Coordination
- Assist with basic production scheduling and job tracking
- Coordinate shipment and delivery schedules with customers and carriers
- Help prioritize administrative tasks to support shop workflow
- Track order deadlines and communicate updates to internal teams
Administrative Support
- Enter and maintain job and customer data in company systems
- Assist with invoicing, paperwork, and document management
- Support purchasing activities such as ordering office or shop supplies
- Maintain organized digital and physical filing systems
- Assist management with general administrative duties
Office Operations
- Coordinate office supplies and inventory
- Support HR tasks such as onboarding paperwork and recordkeeping
- Assist with basic bookkeeping tasks as needed
- Help ensure efficient communication between office staff and shop floor personnel
Qualifications
- High school diploma or equivalent required; associate degree preferred
- 2 years of administrative or office experience preferred
- Experience in manufacturing or machine shop environments is a plus
- Strong organizational and multitasking abilities
- Excellent communication and customer service skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to work independently and maintain attention to detail
Preferred Skills
- Experience with ERP or job-tracking systems
- Familiarity with manufacturing terminology or CNC machining
- Basic understanding of shipping/logistics processes

Pay: $55,000.00 - $65,000.00 per year
