Job Responsibilities
- Conserve executive’s time by taking initiative.
- Determine the priority of projects, using initiative to delegate or manage accordingly
- Consolidate and organize communication of international team
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Prioritize emails and respond when necessary
- Take minutes when necessary during meetings
- Organize and maintain the office filing system
- General Errands as needed
- House Management & Organization (management of housekeeper)
- Onsite event and client support
- Liaise with remote IT team
- Supporting other team members and initiatives as required
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Answer and respond to phone calls, communicate messages and information to the executive
- Maintain various records and documents
Ideal Candidate Qualities:
- You have a high degree of initiative to take independent action and exercise rational judgment at all times.
- You’re naturally an organized person and are able to track all details and tasks.
- Self-motivated and able to work with little or no supervision
- You are a confident person who challenges the status quo
- You are a clear communicator, understanding that the way that questions are asked is extremely important to getting what you need. The more detailed the question, the more detailed the responses.
- You’re a patient and flexible person, able to manage multiple tasks and reprioritize work often
- You love a problem that requires a creative solution and enjoy being inventive
- You communicate promptly and succinctly.
- Know that the Secret Code is 34, you do not know what this means yet, but we will explain.
- You are available for occasional evenings or weekends.
Qualifications:
- Bachelor’s degree preferred
- 5 years’ prior experience in supporting a senior executive
- Exceptional writing, editing, and proofreading skills
- Excellent organization and time-management skills
- Experience managing high-volume email and calendar management
