CRE Task Wizard is the modern back-office platform for the commercial real estate industry, serving 200 firms across the US. We combine offshore operators, AI-assisted workflows, and senior oversight to handle ops, research, marketing, and transaction support — so brokers can focus on closing deals. We are profitable, bootstrapped, and operating at multi-million-dollar ARR.
WHY THIS ROLE EXISTS
We recently launched a new product that is already in the hands of real clients and needs operational leadership to scale. This is a founding seat reporting directly to the CEO. You will be the person brokers trust, the person our offshore team looks to for quality standards, and the person who turns messy client needs into repeatable playbooks. You will help build the client operations function from the ground up.
WHAT YOU'LL OWN
- Client outcomes across 20–30 active pods — brokers doing $500K–$10M in annual GCI
- The quality bar for every deliverable that leaves CTW: OMs, BOVs, lease abstracts, market research, financial models
- The operating system — playbooks, SOPs, and escalation criteria that let the company scale past the founder
- A growing team of offshore operators and AI-assisted workflows; you set the standard, coach the people, and flag capacity before it breaks
- Proactive client health — running structured check-ins, identifying workflow gaps, and solving problems before clients notice
- Pod-level delivery metrics and the feedback loop into product, recruiting, and pricing
WHAT YOU'LL DO DAY-TO-DAY
- Translate broker needs into task specs the CTW ops team and AI workflows can execute reliably
- Review and QC deliverables across pods before they reach the client
- Run recurring client check-ins and drive retention through delivery, not upsell
- Coach and manage offshore operators; raise the ceiling on what the team can deliver
- Build SOPs and playbooks as patterns emerge — codify what works
- Partner with the CEO on hiring, capacity planning, and product feedback
WHAT WE'RE LOOKING FOR
- 5 years in CRE brokerage ops, transaction coordination, or research — with at least 2 in a lead or manager role
- Proven experience managing remote or offshore teams
- Comfortable reviewing OMs, BOVs, and lease abstracts and holding the line on quality
- Strong written communication; you can write an SOP that a new hire in Manila can execute on day one
- Detail-oriented, fast-moving, and calm under volume
- Fluent with CoStar, CRMs, and deal platforms
NICE TO HAVE
- Experience running a managed services or back-office function
- Hands-on exposure to AI-assisted workflows or prompt engineering in a professional context
- Prior work as a TC or ops generalist at a mid-to-large CRE firm
- Familiarity with deal lifecycle across asset classes: investment sales, leasing, capital markets
COMPENSATION & BENEFITS
- $120,000–$150,000 base salary, depending on experience
